ABOUT THE COMPANY
Camden Center is a partial hospitalization and intensive outpatient treatment center that offers comprehensive, multi-disciplinary treatment for psychiatric and addictive disorders. Our staff is comprised of nationally recognized medical doctors, psychotherapists, and integrative medicine specialists who have been recruited as experts in their field to work with our patients. ABOUT THE POSITION
The Scheduling Assistant provides clerical support to all Camden Center staff, including the Scheduling Department to ensure patient schedules are coordinated with provider schedules. The Scheduling Assistant must be organized, detail-oriented, and have the ability to multitask in a fast-paced office setting. This position is open to growth as the company expands.
This position reports directly to the Scheduling Manager and works within a team of Scheduling Assistants.
RESPONSIBILITIES
Core duties and responsibilities include:
- Manage calendars for patients and staff, and communicate schedule changes to all appropriate parties
- Collaborate and communicate effectively with Clinical Team Leads on patient schedules
- Manage a load of 10 - 12 patients schedules
- Assist Scheduling Manager with scheduling tasks
- Track clinical providers' time off to ensure schedule plans are up to date
- Assist in reviewing patient schedules on Friday for the following week
- Compose emails to patients, staff, and associates with professionalism and correct use of grammar and vocabulary
- Complete Scheduler on Duty tasks in a timely manner
- Track and manage group cancellations and informing providers on status changes
- Review completed schedules to ensure information is accurate and concise
- Use discretion and good judgment in handling sensitive and confidential information
- Demonstrate a high degree of accuracy and attention to detail at all times
- Follow all HIPAAs regulations, requirements, and guidelines
- Strong computer and internet research skills, including proficiency in Google Workspace
- Excellent interpersonal skills
- Strong ability of completing tasks with thoroughness and precision
- Ability to work well with all levels of management, staff, and patients
- Must be able to legally work in the United States and provide documentation (two forms of /or Green Card)
- Must be able to sit and stand at length (up to four hours)
- Must be able to lift, push, and pull up to 25 pounds
- Must be able to kneel, bend, and squat
