Primary

Purpose:

Provide administrative and clerical support to the campus principal and assist in the efficient operation of the school office. The secretary serves as the first point of contact for parents, staff, and community members, ensuring a professional and welcoming environment while maintaining confidentiality and supporting the daily functions of the school.

Qualifications:

Education/Certification:

* High school diploma or GED required

* Some college coursework preferred

Special Knowledge/

Skills:

* Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and Google Workspace

* Excellent communication, organizational, and interpersonal skills

* Ability to handle confidential information with discretion

* Ability to multitask, prioritize, and meet deadlines in a fast-paced environment

* Knowledge of office equipment (copiers, fax, scanners, etc.)

* Ability to compose correspondence and compile reports

Experience:

* Two years of secretarial or administrative experience (preferably in a public school setting)

Major

Responsibilities and Duties:

Administrative Support

* Serve as the primary administrative support to the principal, managing schedules, appointments, and correspondence.

* Prepare and distribute memos, letters, reports, and other documents as requested.

* Maintain files, records, and documentation in accordance with district policies and retention guidelines.

* Assist in preparing campus reports, budgets, purchase orders, and payroll submissions.

* Coordinate meetings, events, and professional development activities for campus staff.

Campus Operations

* Serve as the first point of contact for visitors, parents, and staff providing assistance or directing inquiries appropriately.

* Answer incoming calls, route messages, and respond to questions regarding school procedures, schedules, and events.

* Maintain student and staff sign-in logs, visitor check-ins, and campus security protocols.

* Assist in coordinating substitute coverage, staff absences, and duty rosters.

* Help ensure smooth day-to-day operations of the school office, supporting administrative staff and teachers as needed.

Financial and Recordkeeping

* Process requisitions, maintain budget records, and reconcile campus accounts.

* Collect and receipt funds in accordance with district financial procedures.

* Maintain accurate attendance, leave, and personnel records for campus staff.

Communication and Public Relations

* Maintain positive communication between the principal, staff, parents, and community members.

* Assist in preparing campus newsletters, announcements, and communications for families.

* Uphold confidentiality and professionalism in all interactions.

Other

* Assist with campus events such as Open House, Awards Assemblies, and Family Nights.

* Perform other duties as assigned by the principal or district administration.

Working Conditions:

Mental Demands/Physical Demands/Environmental Factors:

Maintain emotional control under stress; work with frequent interruptions.

Prolonged use of computer; repetitive hand motions; occasional lifting of boxes or supplies (up to 25 lbs).

Normal office environment with regular interaction with staff, students, and the public.

Evaluation:

Performance will be evaluated annually in accordance with district policies and established procedures.

* Minimum Salary $19.25 hourly

* Salary is commensurate with experience

* Works 217 Day Calendar

* This position requires on-site, in-person work and does not offer remote work options.
