Part-Time Executive Assistant to the CEO

We’re looking for a highly organized, proactive, and detail-oriented Part-Time Executive Assistant to support the CEO here at Shadowbox Live! This is a unique opportunity to work at the intersection of arts, leadership, and community impact while helping bring extraordinary performances and programs to life. This role is ideal for someone who thrives working independently with structured collaboration.

- Manage and prioritize the CEO’s calendar, meetings, and communications with impeccable attention to detail.
- Prepare and organize sensitive documents and communications, maintaining strict confidentiality.
- Coordinate remote and virtual meetings, including agenda preparation and follow-ups.
- Assist with special projects assigned by the CEO, ensuring timely execution.
- Serve as a professional interface between the CEO, board/committee members, internal teams, and external partners.
- Handle travel arrangements and expense reports if necessary.
- Maintain organized digital files and critical information for easy access.
- Prior experience as an executive assistant or in a senior administrative role supporting C-level executives.
- Exceptional organizational and time-management skills
- Strong written and verbal communication abilities
- Ability to juggle multiple priorities while maintaining attention to detail
- Ability to handle sensitive information with discretion and confidentiality.
- Self-motivated, proactive, and resourceful with a positive, professional demeanor.
- Proficiency with common office software and communication platforms (e.g., Microsoft Office, Google Workspace, Zoom).
- A positive, can-do attitude and willingness to jump in wherever needed
- Comfortable working remotely with flexible scheduling, averaging 4 hours per day.
