About the role
The Portfolio Specialist provides hands‑on administrative support for mortgage portfolio operations. The role focuses on completing routine, process‑driven tasks that help keep daily workflows running smoothly for the Portfolio Specialist team. Candidates will work in Toronto or Vancouver offices and candidates applying from outside these locations will be expected to relocate to a commutable distance of one of these offices.
Day‑to‑Day Responsibilities- Manage shared inboxes and respond to routine inquiries within service level agreements.
- Generate and process mortgage statements and related documentation.
- Perform banking system updates and ensure records are accurate and up‑to‑date.
- Administer property insurance, including document collection, policy review, and system updates.
- Maintain and organize physical and electronic files.
- Complete general administrative tasks such as saving documents, tracking requests, and cleaning up projects.
- Respond to inbound calls and email interactions with professional, best‑in‑class resolutions.
- Follow established procedures closely and escalat[e]?tion when required.
- 2+ years of banking or mortgage administration experience, or a similar customer‑service focused role.
- Fluent in English and French.
- Working knowledge of commercial property insurance is considered an asset.
- Excellent verbal and written communication skills with a clear, professional, and friendly tone.
- Robust time‑management skills with the ability to prioritize and manage multiple administrative tasks.
- Exceptional attention to detail and accuracy when processing information and updating systems.
- Self‑motivated and able to work independently, especially on repetitive or process‑driven tasks.
- Comfortable following standard operating procedures and asking questions when clarification is needed.
- Proficient with Microsoft Excel and Word.
