Description

Provide comprehensive administrative and financial support for all grant and contract activities within the Barbara Davis Center for Diabetes, Clinical Epidemiology Division. Responsibilities include pre‑award preparation, post‑award administration, procurement oversight, and general administrative coordination to ensure compliance with university, sponsor, and federal regulations.

Key Responsibilities
  • Post‑award Administration (70%)
    • Review award notice with Principal Investigator, noting special terms and conditions.
    • Confirm budget setup in the finance system and establish subcontracts per sponsor guidelines.
    • Ensure timely receipt and processing of required documents (e.g., contract amendments, MOUs, JIT documentation, CITI certification, rebudgeting requests, no‑cost extensions, administrative supplements, carry‑forward requests, progress and financial reports).
    • Apply university fiscal policies and sponsor regulations (statutory, OMB Circular A21, etc.) to project management.
    • Monitor project financial accounts, reconcile transactions, and prepare monthly financial and fundraising forecasts.
    • Process division funding distribution submissions for over 40 employees.
  • Pre‑award Administration (20%)
    • Collaborate with Principal Investigators and the Research Services Program Manager to prepare budgets for federal, state, industry, university, and private sponsor grants, fellowships, and contracts.
    • Assist investigators with routing proposals through the Office of Grants and Contracts.
    • Track and route contracts and other award documents throughout the proposal lifecycle.
  • Senior Professional Level / Principal Level
    • Maintain proficiency in university, state, and sponsor policies; advise peers.
    • Draft, format, and edit budget justifications, biosketches, and other required forms.
    • Independently route proposals for review and submission.
    • Develop and maintain tracking systems to monitor award status from submission to completion.
  • Purchasing (7%)
    • Provide training and oversight of division purchasing, including procurement card allocations, purchase orders, office supplies, travel arrangements, and reimbursements.
    • Review purchases for coding accuracy and appropriateness.
  • General Administration (3%)
    • Coordinate division resources such as facilities maintenance, Webspace reporting, building access, printing, and telecommunications.
    • Perform additional duties as required.
Work Location

Hybrid (3 days per week on campus, remaining flexible via remote work)

Qualifications
  • Intermediate Rank
    • Bachelor’s degree in any field.
    • One year of clinical, translational, or basic research grant administration or related experience.
  • Senior Rank
    • Bachelor’s degree in any field.
    • Two years of grant administration experience.
  • Principal Rank
    • Bachelor’s degree in any field.
    • Three years of grant administration experience or an advanced degree (Master’s/PhD) directly related to the work.
  • Preferred Qualifications
    • Bachelor’s degree in a science or health‑related field.
    • Four years of grant administration experience.
    • Prior experience with pre‑award grant administration.

  • Ability to establish effective relationships across institutional levels.

  • Fundamental understanding of human anatomy, physiology, and medical terminology.
  • Capacity to interpret complex research protocols.
  • Expert knowledge of pre‑award processes and technology.
