Terminal Administrative Clerk - Job Overview

The Terminal Clerk plays a key role in supporting daily terminal operations and ensuring drivers are prepared, legal, and equipped for each load. This role handles order entry, permit coordination, driver document organization, and general administrative support to keep the terminal running smoothly and efficiently.

Responsibilities

Operational & Driver Support

* Work closely with the internal team to ensure all drivers are compliant with legal and safety requirements, including correct routing permits, valid hours of service, and no out of service violations.

* Prepare and organize driver delivery paperwork daily, attaching required permits to BOLs and ensuring blanket permits are included in each driver's packet.

* Email documents and permits to drivers to ensure they are fully prepared and legal before departing with their load.

* Confirm drivers have all required routing permits, escorts, and other legalization prior to dispatch.

Administrative Duties

* Enter orders into the TMS system, including bill/pay entries, load completion updates, and submission of delivered paperwork to the home office for invoicing and driver payroll.

* Maintain a monthly permit log and submit updated lists to the home office.

* Monitor expiration dates for driver and equipment documents, ensuring updated documents are received and forwarded before deadlines.

* Answer and route incoming calls through the terminal's phone system in a professional and timely manner.

Recruitment & Terminal Support

* Assist the internal Terminal team with driver recruiting tasks as needed.

* Provide general support to the terminal to ensure efficient day to day operations.
