SUMMARY:
The Assistant Executive Director performs a wide range of job duties assigned by the Executive Director involving nearly all aspects of the Maine Board of Bar Examiners ("MBBE") operations, ranging from clerical to front-line communications to complex tasks with decision‑making responsibilities. The position also provides administrative support to the Executive Director. This employee reports to the Executive Director and will work full‑time.
REPRESENTATIVEDUTIES AND RESPONSIBILITIES:
- Draft correspondence and documentation.
- Coordinate and schedule meetings and hearings.
- Pick up, drop off, sort, and distribute mail.
- Welcome visitors, answer phone calls, email communication, and assist the public as needed.
- Perform administrative tasks.
- Assist with the preparation of each bar examination.
- Administer parts of the Maine Bar Admission Rules.
- Prepare, inventory, and pack exam materials.
- Research, compile, and prepare statistics and reports.
- Assist the Executive Director with preparation of some financial work and record gathering for reports (annual audits, annual reports, budgets, etc.).
- Monitor office equipment and troubleshoot and coordinate repairs.
- Monitor office supplies and equipment inventory; order replacements as needed.
- Assist with travel arrangements for the Executive Director and Board members as needed.
- Perform other miscellaneous job‑related duties as assigned by the Executive Director.
REQUIRED:
- Perform, organize, and prioritize assigned work and manage multiple tasks.
- Prepare professional correspondence and other documentation with minimal supervision.
- Strong administrative, computing, and office equipment maintenance skills.
- Strong written, verbal, and organizational skills.
- Strong interpersonal and communication skills.
- Willingness and ability to regularly work alone and independently.
- Ability to work effectively and professionally with the Executive Director, Board members, and members of the public.
- Ability to maintain confidentiality.
- Proficiency with a variety of software programs as assigned, including, but not limited to, Microsoft Office and Quick Books.
JOB REQUIREMENTS:
High school diploma. A Juris Doctor and/or an Associate’s or bachelor’s degree in business administration or related field is preferred. Prior experience in a legal setting is preferred.
WORKING CONDITIONS AND PHYSICAL DEMANDS:- Occasional physical effort and lifting.
- Routine local travel.
- Extensive computer work.
- Office setting and/or remote work as assigned.
$55,000- $70,000 annually.
