Overview
The Committee for Public Counsel Services (CPCS) is hiring an Administrative Assistant for its Transition Age Youth (TAY) Office. The position is full‑time (35 hours per week) and will be fully remote until office space is secured, scheduled to be located in Framingham or other Greater Boston area locations.
QualificationsMinimum entrance requirements
The ideal candidate will be highly organized, detail‑oriented, and enjoy interacting with people in a friendly work environment. They must have:
- Associate’s degree in a related area plus at least two years of experience as an administrative assistant, office manager, or executive‑level secretarial role; or an equivalent combination of education, training, experience, and skills.
- Reliable internet access for remote work.
Substitutions
- A bachelor’s or higher degree in a related area may replace one year of the required experience. Education toward such a degree will be prorated based on the portion of the requirements actually completed.
Qualifications / Skills
- Strong communication, organization, and detail skills.
- Proficiency in the Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Ability to establish effective working relationships and collaborate on a team.
- Flexibility, strict adherence to confidentiality.
- Typing skill of 50–60 words per minute preferred.
- Familiarity with advanced Word formatting and editing, and Microsoft Excel.
- Strong cultural competency and diplomacy.
- Legal office experience a plus.
- Foreign language skills are strongly preferred.
The duties of the Administrative Assistant include, but are not limited to:
- Supporting the Attorney in Charge with day‑to‑day office duties and special projects, including coordination with HR, Facilities, and IT.
- Opening, closing, and maintaining case files, and handling scanning, shredding, and filing of closed files.
- Providing administrative support such as word and data processing, filing, copying, scanning, and correspondence handling.
- Coordinating and assisting with projects related to personnel management, program evaluation, and other areas.
- Creating statistical reports on attorney caseloads and case dispositions and maintaining collected data.
- Planning, coordinating, and calendaring meetings and events.
- Assisting with projects that improve the quality of legal representation and enhance client services.
- Ensuring effective use of office systems and compliance with agency procedures and practices.
- Communicating effectively with internal and external contacts at all levels.
- Assisting with front‑desk coverage and receptionist responsibilities as needed.
- Maintaining and updating office websites.
- Other duties as assigned.
