Overview
South Puget Sound Community College seeks a highly motivated, qualified individual for the part‑time Program Specialist 3 position to support the Facilities department.
Responsibilities- Fire Suppression Systems Program
- Independently manage, track, and facilitate scheduling for fire suppression systems across Lacey Campus, Angela Bowen Center, and Mottman Campus (17 buildings, multiple dry and wet systems).
- Assess non‑compliant reports, schedule repair and re‑inspection with vendors to ensure compliance with municipal codes.
- Track and interpret requirements for semi‑yearly, yearly, 5‑year, and 10‑year inspections under NFPA, local codes, and state rules.
- Coordinate and troubleshoot inspections with campus staff.
- Coordinate annual fire extinguisher inspections.
- Ensure batteries in fire panels are functional and replaced as needed.
- Receive, reconcile, and create requisitions/POs for vendor payments.
- Track monthly and yearly expenditures for budget tracking and forecasting.
- Prepare and maintain all related records and reports.
- Campus Utilities Record Tracking
- Audit utility usage: trending weekly, monthly, and annually.
- Monitor performance against standard operating parameters.
- Report anomalies to Maintenance and Administration.
- Provide monthly building performance reports.
- Track historic records for current and future comparisons.
- Record energy data in spreadsheets for documentation.
- Safety – Elevator Inspection System Program
- Manage scheduling and repairs for elevator conveyance systems at Lacey Campus, Angela Bowen Center, and Mottman Campus.
- Schedule and conduct inspections and re‑inspections with vendors to maintain compliance.
- Track inspection requirements and timelines (semi‑annual, annual, 5‑year, 10‑year).
- Coordinate inspections with campus staff and inspectors.
- Coordinate annual inspections with L& I Inspectors.
- Reconcile invoices and create PO's for vendor payments.
- Track expenditures for budgeting.
- Maintain all related records and reports.
- Clean Buildings Act Compliance Reporting
- Coordinate with regulatory agencies such as the Department of Ecology, Department of Commerce, and the State Board of Community College and Technical Colleges.
- Assist with documentation and reporting.
- Obtain Build‑Operator Certification (BOC) Level 1 and 2 or complete training within one year.
- Hazardous Waste Reporting – 2‑Year Cycle
- Prepare and submit the Biennial Hazardous Waste Report (EPA Form 8700‑13A/B) by March 1 of each even‑numbered year.

- Other duties as assigned.
- High school graduation or equivalent AND two years of applicable clerical experience or equivalent education/experience.
- Strong organizational skills; ability to work independently, prioritize tasks, maintain confidentiality, and handle interruptions.
- High degree of accuracy and attention to detail required.
- Excellent communication skills and ability to work well with others as a team member.
- Advanced computer skills with the MS Office suite (Word, Outlook, Excel, PowerPoint, Access).
