Job Summary

The Executive Assistant performs a variety of technical administrative tasks in support of senior executives, typically senior vice presidents and vice presidents. Acts as a liaison with other departments, including colleagues through the CEO level, board of directors and other contacts in order to meet business objectives.

Key Responsibilities & Duties
  • Maintains complex calendars, schedules, and coordinates internal and external appointments/meetings, including scheduling virtual teleconferences and in-person conference room space set-up.
  • Monitors budgets, tracks spending, researches variances and prepares financial reports; processes invoices and expense reports.
  • Answers and screens internal and external calls and directs them to the appropriate people/area, including email management and general reception.
  • Develops high level presentation materials, supports special projects with highly complex and confidential information; creates and maintains spreadsheets, presentations, and departmental databases.
  • Drafts, proofreads, and edits correspondence and departmental documents, including sending correspondence electronically and/or by mail; drafts and compiles reports and department documentation and materials.
  • Assists with training and onboarding new administrative hires, provides coverage when other assistants are away; may oversee the work of executive assistants or senior administrative assistants.
  • Other duties and projects as assigned.
Qualifications
  • Education Required (minimum): High school equivalency;
    Preferred: Associate’s degree.
  • Experience (minimum years required): 4+ years of related office experience;
    Preferred: skill requirements.
  • Skill Requirements:
    • Advanced proficiency in Microsoft Office Suite:
      Outlook, Word, Excel, PowerPoint, and Teams.
    • Ability to learn new tools and teach others.
    • Strong customer service skills and the ability to interact professionally with peers, leadership, and external contacts.
    • Excellent verbal and written communication skills.
    • Ability to work independently as well as in a team setting.
    • Ability to maintain a high degree of confidentiality, maintain timelines, and effectively multitask.
    • Must be able to work independently to plan, organize and prioritize work to ensure completion in a timely manner.
    • Must be able to work cooperatively as a team member.
    • Requires excellent interpersonal and customer service skills to interact effectively with all levels of management, departmental staff, internal and external contacts.
    • Must be able to effectively communicate in verbal and written format.
    • Ability to prioritize work tasks within set protocols and procedures.
Working Conditions and Additional Requirements

Must be able to work under normal office conditions and work from home as required. Work may require simultaneous use of a telephone/headset and PC/keyboard and sitting for extended durations. May be required to work additional hours beyond the standard work schedule.

Salary Range

$31.90 - $47.85

The annual base salary range provided for this position represents a range of salaries for this role and similar roles across the organization. The actual salary for this position will be determined by several factors, including the scope and complexity of the role; the skills, education, training, credentials, and experience of the candidate; as well as internal equity. As part of our comprehensive total rewards program, colleagues are also eligible for variable pay.
