Position: Events Coordinator (part-time)

SUMMARY OF POSITION

ASTA is seeking a detail-oriented and customer-focused Part-Time Events Registration Coordinator to join our Events team. This role will provide essential registration and customer service support for ASTA events. The coordinator will work part-time on Mondays, Wednesdays, and Fridays from 9:00 AM – 3:00 PM EST. They will work closely with the Senior Events Coordinator to address attendee inquiries, manage registration data, and assist with event-related logistics.

ASTA is looking for a candidate in the DMV area to work in the office; however, remote work may also be possible upon request.

KEY RESPONSIBILITIES
  • Respond promptly and thoroughly to attendee inquiries via email (meetings inbox) and phone.
  • Manage attendee records within our event registration system (Pheedloop), including:
    • Processing cancellations, refunds, and updates
    • Performing data cleanup and accuracy checks
    • Monitoring recurring attendee questions and providing insights to improve event communications.
    • Assisting with generating registration reports using Pheedloop and Microsoft SharePoint.
    • Referencing and navigating member information using our membership database (iMIS).
  • Provide live customer service support during event webinars, helping respond to attendee questions in real time.
  • Other duties as assigned by the events team as requested: organizing event materials, packing for events shipments, vendor research, app support, etc.
EXPERIENCE
  • Proven experience in customer service, ideally in event-related or fast-paced environments.
  • Strong problem-solving and de-escalation skills; calm and professional communication style.
  • Comfortable managing and updating records in CRM or registration systems.
  • Proficiency with Microsoft Teams and Microsoft Office applications.
  • Prior event coordination or registration experience is a strong plus.
  • Familiarity with the registration lifecycle and common attendee concerns is highly beneficial.
