Position Overview
Executive Support Specialist 1 – Executive Support to the Director of Treatment Services at the Oregon Health Authority, Salem, Oregon. The role is a full‑time, permanent position within a single location with the possibility of some remote work.
Responsibilities- Provide confidential executive and administrative support to the Director of Treatment Services, including managing calendars, emails, communications, and official documentation.
- Prepare materials, maintain organized tracking systems, process invoices, coordinate travel, and support budget audits.
- Organize meetings, prepare agendas and documents, take minutes, and manage Teams content.
- Offer technical assistance to staff on policies, systems, and TEAMS, and coordinate special events and trainings.
- Oversee compliance with mandatory training requirements and maintain inventories and material distributions.
- Provide customer service coverage during standard business hours and support department operations across campuses.
- Three years of clerical/secretarial experience, including one year at a full performance level performing typing, word processing, or document generation.
- Lead work responsibility or coordination of office procedures.
- Courses or training in Office Occupations or Office Technology may substitute up to one year of the required experience, but not the one year at full performance level.
- Excellent computer skills, including Microsoft Word, Access, Publisher, PowerPoint, Teams, Excel, and Outlook.
- Experience coordinating special events, trainings, and other activities such as scheduling, agenda development, document preparation, onsite support, presenter coordination, action tracking, report‑outs, attendance tracking, and minute‑taking.
- Experience providing technical assistance and guidance to staff.
- Experience with procurement, accounting, and/or budgeting.
- Excellent written and oral communication skills.

Employment is contingent upon a criminal records check that meets OHA criteria at the time of hire and throughout employment. The salary range listed is the non‑PERS qualifying range; PERS eligibility increases the range by 6.95%.
