The Executive Office Specialist supports the office of the Co‑CEO at Great American Insurance Group. The role manages a variety of complex, confidential responsibilities within a dynamic environment, requiring initiative and strong collaboration.
Essential Job Functions And Responsibilities- Represent Great American Insurance Group with executive professionalism and demeanor.
- Facilitate communication with internal and external stakeholders, executives, and key resources.
- Research, obtain, and organize information for meetings, speeches, and reports as requested by the executive.
- Develop and implement new processes or operational plans that impact functional results.
- Coordinate and facilitate the scheduling of meetings, projects and travel itineraries requiring detailed preparation and precise execution.
- Identify available resources to ensure processes meet business needs.
- Maintain financial records and prepare financial reports for the office of the Co‑CEO.
- Prepare, receive, and respond to complex correspondence, ensuring all outgoing information meets quality standards.
- Edit, proof, format documents, design/production, form filling, and perform data entry as needed.
- Receive and screen telephone calls and visitors, directing them to appropriate individuals and exercising judgment to meet needs personally whenever possible.
- Serve as part of a collaborative team to meet the needs of the Co‑CEO executive office.
- Maintain the highest level of discretion, judgment, and confidentiality in all matters.
- Bachelor’s degree in business, communication, or a related field.
- 7–10+ years of professional work experience with financial sophistication.
- Excellent discretion and judgment in handling confidential data.
- Proficient in Microsoft Word and Excel; knowledge of Adobe or related creative tools preferred.
- Strong detail orientation and high level of accountability.
- Ability to work under pressure and prioritize tasks without supervision.
- Flexible level of position based on candidate qualifications.
- Collaboration – Work cooperatively with others to achieve team goals.
- Positive, proactive approach – Maintain a constructive attitude in challenging situations.
- Professional presence – Exhibit a credible and confident demeanor that conveys the organization’s values.
- Work standards – Demonstrate a high level of detail orientation, set high performance standards for self and others, and assume responsibility for assignments.
- Expect in‑office presence five days per week with occasional flexibility to work from home; must be available to cover office hours that may extend beyond 6 p.m.
