The Legal Assistant Coordinator is a critical operational and compliance role within the Risk Management and Legal support functions, responsible for adherence to court‑mandated deadlines, regulatory requirements, and corporate legal obligations. The position plays a key role in the intake, tracking, and calendaring of legal matters, including lawsuits, subpoena compliance, and regulatory reporting deadlines.
Essential Functions- Intake, docketing, and calendaring of litigation matters, maintaining litigation calendars, case status reports, claims closures, and a tickler system to ensure timely compliance with court deadlines.
- Coordinate Medicare reporting compliance, subpoena response processes, and procurement/renewal of fleet ship certificates, ensuring accurate and timely submissions to avoid statutory penalties.
- Exercise confidentiality and professionalism while providing administrative support to the Risk Management and Legal teams, including data collection, report generation, and meeting coordination.
- Backup coordinator for evidence preservation with shoreside and shipboard Security teams, maintaining accurate logs and documentation related to evidence management.
- Time‑card administrator for the department, approving payroll time cards and accurate PTO, sick time, and other time‑off entries.
- Department coordinator for legal holds and document retention requirements, monitoring claims, litigation, and compliance mailboxes.
- Support onboarding/offboarding of employees, coordinating equipment requests, account setups, and providing coverage for other support staff.
- Collaboration with Corporate Collaboration and CCL.
- Problem‑solving:
Provide legal administrative support with a focus on compliance and logistics, resolving issues with IT Help Desk and shipboard teams. - Impact:
Ensure timely execution to prevent adverse rulings, sanctions, fines, and reputational risk. - Leadership:
Collaborate with the legal team.
- Associate’s Degree in Administration, Legal Administrative Support, or similar.
- Bachelor’s Degree – preferred.
- Ability to communicate confidently at the highest levels and build effective internal and external relationships.
- 3–5 years of legal administrative experience with demonstrated accomplishments.
- Proficient in Microsoft Office (Outlook, Word, PowerPoint, Excel, Teams).
Travel – no or very little travel likely.
Work Conditions:
May require work inside and/or outside with exposure to changing climate and/or operating machinery.
Physical Demands:
Must remain at a stationary position at a desk/computer for extended periods. Occasionally walk during dry dock periods.
This position is classified as “in‑office.” Employees may work from a designated Carnival office in South Florida Monday through Thursday and may work from home on Fridays.
