Lifestyle Wealth Management is a boutique financial planning and wealth management firm based in Kailua, Hawaii. We specialize in serving high-net-worth families, federal employees, and professionals building toward a work-optional lifestyle.

THE ROLE

We are looking for a Client Relationship Coordinator to become the administrative and operational backbone of our practice. This person will be the first voice clients hear, the one keeping every ball in the air, and the trusted right hand to the lead advisor.

This is not a traditional admin role. Over time, this role is designed to grow into operations management and potentially beyond. We are looking for someone who wants to build something with us, not just fill a seat.

WHAT YOU WILL OWN Client Communication and Relationship Support
  • Serve as the primary point of contact for client calls, emails, and text messages
  • Answer and manage the office phone professionally and warmly during business hours
  • Return client inquiries promptly and with the care our clients expect
  • Help clients resolve questions, route requests appropriately, and elevate when needed
  • Protect the advisor's time by serving as a thoughtful communication gatekeeper
Scheduling and Administrative Coordination
  • Coordinate and confirm client appointments and manage calendar logistics
  • Follow up with clients on outstanding documents, pending items, and action steps
  • Prepare meeting materials and assist with client onboarding tasks
  • Maintain organization within CRM systems and document management platforms
Workflow and Team Operations
  • Track open tasks, priorities, and client follow-up to make sure nothing falls through the cracks
  • Coordinate across Slack, email, and internal systems to keep the team in sync
  • Support workshop and client event logistics throughout the year (8-10 events annually, with after-hours and potential travel requirements)
  • Assist with occasional on-site needs including printing, materials prep, or errands on Oahu
Financial Services and Technology Support
  • Assist with insurance application processing and basic financial services administrative work
  • Support data entry, document management, and client file maintenance
  • Operate Zoom, VOIP, scheduling tools, CRM, and document platforms confidently
  • Candidates with Charles Schwab familiarity or securities licensing will be considered for expanded responsibilities and higher compensation

  • Tech-savvy and comfortable learning new systems

QUALIFICATIONS
  • Prior experience in administrative support, client services, executive support, or financial services preferred
  • Excellent verbal and written communication skills
  • Strong organizational skills with a track record of follow-through
  • Must reside on Oahu, Hawaii
  • Must have a professional remote work setup
  • Must pass a background check and hold a valid driver's license
  • Series 65, 66, or other securities licenses are a significant plus and may increase compensation
WHAT WE OFFER
  • Base salary: $60,000 - $75,000 depending on experience
  • Upside to $80,000+ for candidates with Schwab software experience
