Data and Reporting Specialist

Hybrid Remote/In-Person Full-Time (40 hours per week) Position in Castro Valley, CA (Non-Exempt)

What You Will Do

This position is a hands‑on role responsible for inputting a high volume of data from multiple sources, ensuring all necessary data is being entered and maintained, and assisting the Associate Director of Data and Reporting in reporting duties. The Data and Reporting Specialist also verifies and edits data as needed, follows up with staff regarding any irregularities or missing information, and prepares reports.

Responsibilities

Data entry into specified data systems for reporting requirements

Routinely complete monthly reports, maintaining organization and documentation practices

Assist System Administrator with quarterly, bi‑annual and annual reporting requirements including narrative writing, data entry, and communication with staff

Assist staff with data system accounts and facilitate trainings on data system processes

Verify and edit data across multiple systems as needed

Log incomplete or missing items for correction by staff as needed

Create and maintain documentation of processes and procedures

Adhere to agency technology guidelines as well as legal and regulatory standards

Actively participate in meetings with supervisor; attend all mandatory meetings including staff meetings and team meetings as requested by the supervisor

Complete functional timesheets by assigned due dates in compliance with time allocations

Actively participate in reflective supervision sessions

Other duties as assigned

Qualifications

Someone with a high school diploma or GED
Experience with HMIS strongly preferred
Proficiency with Google Suite
Interested in processing data for a nonprofit service agency
Experienced in working in a mission‑driven organization with sensitive information
Able to work closely with staff throughout all agency departments
Ability to prioritize and complete tasks within established time frames
Ability to maintain confidentiality and integrity with data and comply with victim services laws
Strong computer skills and the ability to enter data into a computer quickly and accurately
Strong attention to detail and analytic thinking
Able to complete a background check, fingerprinting (Live Scan), and all Community Care Licensing requirements

Working Conditions

This position is eligible for hybrid in‑person and remote work. Time spent on‑site versus remote working will be discussed and agreed upon with the supervisor. Staff must be available on‑site as necessary for business needs, stand for long periods of time, lift up to 25 pounds, and handle frequent interruptions while multitasking and managing stress. Local travel in the greater Bay Area may be required.

Compensation

and Benefits

The pay scale for the Data and Reporting Specialist is $28.72–$31.74 per hour (non‑exempt). Full‑time, 40 hours per week, hybrid work with some days required in the Castro Valley office.
