Role Description

The Office Manager / Executive Assistant is responsible for supporting the day‑to‑day operations of Spectron’s office while providing direct administrative and scheduling support to the CEO. This role helps keep the office organized, stocked, efficient, and running smoothly, while also supporting client communication, internal follow‑up, vendor systems, shipping/receiving, document management, and executive scheduling. The ideal candidate is highly organized, proactive, discreet, and strong at execution and follow‑through.

This person should be comfortable seeing what needs to be done, building systems to improve office operations, and making sure details do not fall through the cracks. Because Spectron works with military contractors and sensitive information, discretion, professionalism, and confidentiality are essential.

Core Responsibilities
  • Manage CEO calendar, scheduling, trip planning, and client follow‑up related to meetings and appointments
  • Monitor office supplies, food, snacks, waters, cleaning supplies, and other office inventory; order items as needed
  • Maintain and organize shared office areas, including delivery driver food/snack area
  • Monitor legacy company email accounts on a regular basis to identify important customer requests, repair inquiries, purchase orders, or sales/admin communications
  • Support customer follow‑up and internal routing when inquiries come through sales, admin, or other shared inboxes
  • Assist with filing, scanning, document organization, and general administrative record‑keeping
  • Support shipping and receiving processes, including incoming/outgoing packages and coordination with team members
  • Work within third‑party vendor and customer systems as needed
  • Support office organization, process improvement, and the creation of repeatable administrative systems
  • Assist with plant care and general upkeep of the office environment
  • Handle sensitive internal, customer, vendor, and contractor‑related information with discretion and professionalism
  • Step in where needed to support the broader team during busy seasons, project deadlines, or operational needs
Qualifications & Skills
  • Approximately 5+ years of experience as an Office Manager, Executive Assistant, Administrative Manager, or similar role
  • Strong organizational skills and ability to maintain structure across office operations, documents, supplies, calendars, and follow‑up tasks
  • Excellent follow‑through and ability to execute tasks independently without constant direction
  • Proactive mindset with the ability to notice what needs to be done and take ownership
  • Experience managing executive calendars, scheduling meetings, coordinating travel, and supporting client communication
  • Comfortable working with third‑party vendor platforms and customer systems
  • Experience with Microsoft Teams required
  • Experience with Linux, Ariba, or Exostar is a plus
  • Experience with shipping, receiving, purchasing, office ordering, or vendor coordination preferred
  • Strong written and verbal communication skills
  • Able to handle confidential, sensitive, and interoffice information with discretion
  • Experience working with military contractors, government‑adjacent clients, or controlled/sensitive documentation is a plus
  • Comfortable working in a small‑business environment where priorities can shift and flexibility is important
  • Salary range: $60,000–$75,000 annually
    , depending on experience, qualifications, and scope of responsibility.
  • Candidates with strong executive support experience, office operations experience, vendor system experience, and prior work with military contractors or sensitive documentation may be considered toward the higher end of the range.

We have an office dog, so candidates should be comfortable working in a dog‑friendly office environment.

This is an in‑office position. While we allow for remote work due to illness or family emergencies, the expectation of this position is to be in office during business hours.
