Job SummaryThe Project Coordinator supports the Executive Director and Senior Director of the Center for Theology and Ethics in Catholic Health by managing communications, coordinating strategic tasks, and supporting project execution aligned with the Center’s mission. This role facilitates collaboration across internal teams and external partners, manages logistics for meetings and events, supports budget and expense tracking, tracks and reports on key performance metrics, and contributes to content and website development.
The position requires excellent organization, communication, project management, and the ability to anticipate and prioritize evolving Center needs.
- Coordinate strategic tasks and timelines that support the Center’s goals and initiatives.
- Provide administrative support to the Executive Director and Senior Director, including calendar management, travel arrangements, and correspondence.
- Communicate clearly, professionally, and directly with a diverse range of stakeholders, including academics, executive-level ministry leaders, health professionals, bishops, and ecclesial leaders.
- Manage logistics and communication for meetings, programs, and events in collaboration with internal teams and external partners.
- Serve as liaison between the Center and CHA staff members and departments.
- Collaborate with the CHA Communications department to update and maintain the Center website content.
- Create, edit, and support content development for presentations, reports, and internal documentation.
- Support internal meeting needs by preparing agendas, scheduling participants, and taking minutes.
- Assist with posting and tracking engagement with social media content (Linked In).
- Track and report on expenses, budgets, and consultant payments related to Center activities.
- Track and report on key performance indicators of the Center’s activities.
- Assist with planning and coordination of Center-hosted events and gatherings, including but not limited to Advisory Board and Editorial Board meetings, in-person team meetings, working group meetings, symposia, and conferences.
- Coordinate with operations, communications, and external vendors to ensure smooth project execution.
- Maintain organized records, documentation, and version control for Center-related projects (primarily in Teams and One Drive).
- Contribute to special projects and other duties as assigned.
St. Louis, MO office with the ability to work from home subject to CHA’s policies on flexible work arrangements.
Qualifications- Associate’s degree with executive assistant experience required, bachelor’s degree preferred, or equivalent work experience.
- 2+ years of experience coordinating projects or supporting executive-level administrative work in a healthcare or nonprofit environment.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Outlook, Teams, One Drive, Word, Excel, PowerPoint).
- Ability to organize and manage multiple tasks, short- and long-term projects, and priorities independently.
- Excellent attention to detail and time management.
- Professional demeanor and strong virtual/phone presence.
- Ability to learn new platforms quickly and adapt to changing needs.
- Familiarity with managing social media accounts preferred.
- Understanding of or interest in Catholic theological ethics preferred.
The anticipated starting pay range for this position is $29.81/hour to $37.29/hour. This is a non-exempt position and is eligible for overtime. Actual pay may vary based on various factors, including but not limited to experience.
