Administrative Assistant (San Francisco)
Gallagher Huie + Blum is a growing firm of defense lawyers serving businesses, insurance companies, and the public sector. We are seeking a skilled Administrative Assistant for our San Francisco office.
OverviewDesired candidate has 1–2 years of administrative or customer‑service experience, types 45 wpm, strong organizational, communication, and multitasking skills. Prior law‑firm experience is a plus.
Responsibilities- Greet guests and provide a professional first point of contact.
- Answer incoming calls and take detailed messages.
- Manage incoming mail, efaxes, and e‑documents, distributing them appropriately.
- Coordinate meetings, send invitations, reserve conference rooms, and arrange services.
- Process department mail and track packages, ensuring timely distribution.
- Update document‑management systems and assist with administrative projects as needed.
- Monitor and route electronic mail folders promptly.
- Maintain a tidy reception area and help with overflow work from other assistants.
- Remain flexible and open to additional tasks or requests as directed by client coordinators.
- Strong written and verbal communication skills with attention to detail.
- Ability to manage multiple tasks in a fast‑paced environment.
- Interpersonal skills for effective communication with attorneys, staff, and clients.
- Organizational and prioritization skills for timely and accurate task completion.
- Proficiency with office equipment such as scanners, fax machines, and multi‑line phones.
- High School Diploma or equivalent required; A.A. or B.A./B.S. degree preferred.
- 1–2 years of office administrative or customer‑service experience required; experience in a law‑firm setting is a plus.
- Physical ability to perform tasks such as sitting, bending, computer use, and lifting up to 50 lbs.
