Administrative Assistant – Hawaii State Ethics Commission
Location:
Island of Oahu (Downtown Honolulu) starting July 2026.
Salary: $54,600 full-time. Salary may vary based on qualifications.
This position is full-time. The estimated salary is $54,600 annually for a full-time position (subject to adjustment based on qualifications and experience).
A hybrid work schedule (combination of in-person and remote work) may be permitted after demonstrated mastery of the position and with supervisor approval.
Position SummaryThe Administrative Assistant serves as a front-facing representative of the Ethics Commission, providing professional, courteous, and efficient reception and administrative support services. This position is responsible for greeting visitors, managing incoming communications, supporting office operations, assisting disclosure filers, and assisting staff with a variety of clerical and logistical tasks.
Key Responsibilities- Serve as the primary receptionist: greet visitors, answer and route telephone calls, respond to general email inquiries, and manage front desk communications.
- Maintain office calendars, schedule appointments, and coordinate meeting logistics.
- Provide clerical support, including document preparation, scanning, copying, filing, and mail distribution.
- Assist with the preparation and tracking of public meeting notices and official correspondence.
- Support data entry, document management, and records maintenance in accordance with agency policies.
- Help coordinate ethics training sessions and outreach efforts, including registration tracking and materials distribution.
- Process disclosures and assist users with e-filing needs, including troubleshooting basic technical issues or routing more complex matters to the appropriate staff member.
- Ensure the front office and common areas are organized, stocked, and presentable.
- Assist with basic procurement and supply ordering tasks.
- Perform other administrative tasks as assigned to support the smooth operation of the office.
Supervisor:
Pursuant to HRS § 84‑35, serves at the pleasure of the Commission. Reports directly to the Commission’s Compliance Director. Subject to periodic performance evaluations.
Standards of Conduct:
Shall comply with the standards of conduct for state employees pursuant to HRS chapter 84, the State Ethics Code.
Prohibition from political activity:
Pursuant to HRS § 84‑35.5, shall not take an active part in political management or in political campaigns during the term of office or employment.
- Experience working in a government or legal office setting.
- Graphic design experience or knowledge.
- Familiarity with Sunshine Law or government ethics procedures is a plus.
- Knowledge of office equipment such as multi-line phones, copiers, and scanners.
- High school diploma or equivalent; additional education or administrative training preferred.
- One or more years of experience in an office or public-facing administrative role.
- Excellent interpersonal and communication skills, with a professional and welcoming demeanor.
- Strong organizational skills and attention to detail.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and comfort with digital filing systems.
- Ability to handle sensitive information with discretion and maintain confidentiality.
- Compliant with the resident requirements of Haw. Rev. Stat. § 78‑1(c).
