Job Summary
The Office Coordinator is responsible for managing incoming communications, supporting administrative functions, and ensuring efficient day‑to‑day office operations. The role serves as a liaison between clients and the legal team while maintaining accurate document management and providing cross‑departmental support.
Essential Functions- Answer and manage calls through the ESI (Estech Systems, Inc.) phone system, taking detailed messages and routing calls to appropriate team members.
- Serve as a liaison between clients and the legal team by accurately relaying messages and important updates.
- Perform administrative tasks such as renaming documents, organizing files, and uploading documents into the case management system.
- Maintain accuracy and consistency in document handling and file management.
- Assist various departments with special projects as needed.
- Provide general office support to ensure smooth and efficient daily operations.
- Communicate effectively with clients, including borrowers, in a professional and courteous manner.
- Work independently while maintaining organization and attention to detail.
- Utilize Microsoft Outlook, Word, and other software systems; demonstrate the ability to learn new platforms quickly.
- Ability to professionally handle unhappy callers.
- Sound judgment in determining when to escalate calls or issues.
- Strong customer service and interpersonal skills.
- Excellent written and verbal communication skills.
- Strong attention to detail and accuracy.
- Effective time management and organizational abilities.
- Ability to work collaboratively across departments.
- Proactive problem‑solving mindset.
- Ability to monitor and manage visitor access when necessary.
