Position is open to current Colorado residents only.
OverviewLocated within the Colorado Department of Human Services, Civil and Forensic Mental Health (CFMH), the Forensic Services Division is responsible for managing programs and services across jail, court, and hospital settings. This role supports the Director of Jail-Based Restoration (J ) in program coordination, office management, and data collection, ensuring compliance with state and federal regulations.
Weekly Hybrid Working ArrangementsMinimum 2 days in the office and maximum 3 days remote work. Work arrangements are subject to change at any time.
Responsibilities- Supports the director, department supervisors, and staff with office management duties, including coordinating meetings, agendas, and minutes, and managing schedules.
- Serves as a point of contact for stakeholders and provides customer service on behalf of the unit.
- Reviews, files, and monitors confidential information, composing correspondence for the Program Director’s signature.
- Collaborates with Human Resources on position descriptions, job postings, hiring, interviewing, and terminations using the Personnel Action Form (PAF) system.
- Oversees accuracy of timekeeping and reporting in the UKG system.
- Tracks and processes staff travel requests and reimbursements.
- Manages inventory, technology, ordering, and purchasing through purchase agreements and the P-card, and handles invoicing, billing, and receiving reports.
- Assists in budgeting, including contracts, with the director.
- Prepares documents for staff, client, and court submissions.
- Maintains electronic tracking systems for correspondence and requests, ensuring timely responses.
- Ensures federal and state compliance with record retention, privacy laws, best practices, and departmental policies.
- Identifies workflow issues, proposes solutions, and assists with execution.
- Translates project concepts into concrete operations to support the J and FSDV mission and goals.
- Creates and manages work plans, deadlines, and tracking systems to meet all J deadlines.
- Attends training and meetings to maintain job knowledge and inform J practices.
- Provides technical assistance on departmental processes and protocols and develops presentations and materials.
- Tracks program factors (court dates, referrals, dispositions, length of stay, reasons for discharge) and generates reports.
- Assists with reporting to OCFMH and CDHS management on performance and compliance.
- Analyzes data, suggests growth areas, and collaborates with directors to improve program efficiency.
- Supports the J Director and Quality Assurance Team in developing department policy and procedure.
- Assists in creating office management organization and workload procedures to meet deadlines.
- Performs tasks or projects assigned by CFMH not specified above.
Experience Only: Four (4) years of relevant experience in a related occupation.
Or
Education and Experience: A combination of related education and/or relevant experience equal to four (4) years.
Preferred Qualifications- Experience in office and program management.
- Preferred degree in Business Administration, Public Administration, Healthcare Administration, Human Services, Organizational Leadership, Management, Communications, or a closely related field.
- Experience working in a healthcare, behavioral health, human services, criminal justice, or government environment.
- Experience with program coordination, executive support, office management, and project tracking.
- Experience collecting, analyzing, and reporting program data.
- Experience with UKG, HRIS, or similar workforce management systems.
- Experience with budget tracking, purchasing, contracts, and procurement processes.
- Knowledge of HIPAA, records management, and confidentiality requirements.
- Previous state experience.
- Advanced proficiency with Microsoft Excel and other Microsoft Office applications.
- Travel: in-state travel between CMHHIP, CMHHFL, and various detention facilities/hospitals.
- 2-step TB screening, annual influenza vaccination, and other vaccinations as required by the State of Colorado.
