Job Description
Wolfe Research is looking for an experienced (5+ years) Executive Assistant who is motivated, detail-oriented, has a positive attitude, and strong administrative/organizational skills. Applicants should be able to work in a fast-paced, growing environment, develop a strong understanding of finance and corporate practices, and execute tasks and projects without supervision.
About the RoleThe Assistant will work directly with Senior Analysts and will be responsible for performing a number of administrative duties including heavy calendar management, booking travel, planning firmwide events, and expense reporting. The role will coordinate scheduling for the Analyst and their team, as well as externally with clients, vendors, and other firm partners.
Responsibilities- Support 3-4 Senior Research Analysts and their respective teams
- Daily work within Microsoft Office with a hyper focus on Excel, Outlook, and Power Point
- Heavy use of CRM platform, Salesforce, and additional internal databases to log client interactions, maintain contact information, and send event invitations
- Maintain distribution lists and other databases and Excel lists
- Book travel and prepare expense reports, maintain analysts’ calendars, schedule meetings, conference calls, and global marketing calendars
- Assist with planning and execution of firm conferences and other marketing events
- Coordinate all event‑related logistics, including catering, audio/visual set‑up, providing marketing materials, and ground/air transportation
- Provide phone, video, and webinar coverage, and moderate panels and industry webcasts
- At least 5 years of administrative experience supporting a Senior Management team or individual
- Desire to develop a career as an administrative professional
- Bachelor’s Degree with a proven academic record
- Strong teamwork, interpersonal, and communication skills, both written and oral
- Advanced Excel skills, including pivot tables, VLOOKUP, and basic formulas
- Organized, detail‑oriented with a strong commitment to accuracy, detail, and follow‑up
- Proactive handling of regular activities without prompting, guidance, or direction
- Ability to multi‑task and prioritize to complete tasks in a timely manner
- In‑office position with some flexibility to work from home
Base salary: $95,000 – $115,000. In addition, an annual discretionary incentive bonus and competitive employee benefits including medical, dental and vision coverage; life, accident and disability insurance; paid time off packages that include vacation, sick days/leave, paid holidays, and paid parental leave.
