Twin Cities Friends Meeting (Quakers) (TCFM), located in St. Paul, has an immediate opening for an Office Coordinator with bookkeeping skills. This position supports the life and work of the TCFM community and its committees. We are a volunteer-run faith organization with no hired minister or director.
TCFM has two employees: an Office Coordinator and a Resident Caretaker who lives on site.
Job Responsibilities- Perform bookkeeping and financial recordkeeping:
Receive, record, and process donations, rental income, and other revenue. Maintain associated electronic records. - Prepare deposit tickets for bank deposits and make deposits.
- Create checks (for Treasurer's signature) to pay invoices after receiving approval from a designated committee member. Process payments. Retain appropriate documentation.
- Reconcile bank statements monthly with the Treasurer and maintain accurate financial documentation in Quick Books.
- Assist the Treasurer with financial reporting (reports from Quick Books).
- Track paycheck and payroll tax payments made by another party; enter them in Quick Books.
- Facilitate rental of space in the building using the rental policy for direction.
- Show meeting spaces to potential lessees.
- Oversee rental agreements, scheduling, invoicing as needed, and rental payment processing.
- Keep accurate records of rentals.
- Serve as liaison for neighborhood issues, such as construction projects, street closures for special events, and parking restrictions. Convey information to Meeting and to renters as needed.
- Serve as contact/guide for some building inspections (fire, electrical, etc.) in consultation with Building & Grounds committee.
- Create and update documents in Google Drive or similar software. Move documents within Google Drive. Manage access to users and groups.
- Handle incoming phone calls and email. Address inquiries and direct communication to the appropriate parties. Sort US mail, including bills and donations.
- Manage meeting room reservations and logistical arrangements. Schedule Zoom or in‑person meetings.
- Perform routine updates of the TCFM website.
- Maintain an electronic database or spreadsheet of members.
- College degree preferable; minimum three years related experience preferred.
- Demonstrated competency with Google Drive.
- Demonstrated competency with bookkeeping and with Quick Books or similar accounting software.
- Strong attention to detail; ability to meet and manage deadlines while working with minimal supervision.
- Ability to communicate clearly verbally and in email. Ability to proofread.
- Willingness to learn about Quaker organization and decision-making.
