DescriptionThe Administrative Assistant provides on‑site administrative support to Alliance’s Home Office. The position organizes and implements administrative support processes to ensure the efficient operation of the office, including answering phones, greeting visitors, handling incoming and outgoing mail, and supporting the legal and public affairs department.
The Administrative Assistant also serves as the first point of contact for office visitors, requiring exceptional customer service skills and experience in healthcare and with confidential information.
This is a full‑time onsite opportunity. The successful candidate will report onsite to the Alliance Home Office (Morrisville, NC) 5 days per week.
Responsibilities- Answer telephones, direct calls, and take messages in a professional and courteous manner, ensuring timely and accurate communication.
- Greet, welcome, and assist visitors appropriately, providing a positive first point of contact for the organization.
- Notify staff promptly of visitor arrival and coordinate visitor access as needed.
- Provide exceptional customer service skills.
- Communicate with customers, employees, and other individuals to answer questions, provide or clarify information, and appropriately elevate complaints.
- Receive equipment, keys, and badges from separating employees and notify Information Technology, Human Resources, and Facilities to support the offboarding process.
- Open, sort, and route incoming mail and packages to the mailroom in a timely and accurate manner.
- Prepare outgoing mail and packages, including sorting, labeling, stamping and coordinating timely pickup or delivery.
- Maintain the mailroom in an organized, clean, and functional condition.
- Operate office machines such as copiers, scanners, voice mail systems, and computers to support daily office operations efficiently and accurately.
- Support teleworking staff as needed through email and Microsoft Teams.
- Provide administrative support for meetings, including reserving conference rooms.
- Maintain physical and electronic files in an organized and accessible manner in accordance with office procedures and records management practices.
- Maintain spreadsheets and databases as requested, ensuring information is entered, updated, and tracked accurately.
- Act as a liaison to the Facilities Manager to help ensure facility needs are addressed, including space, equipment, and maintenance requirements.
- Assist with onsite needs such as basic equipment troubleshooting.
High school diploma or equivalent and two (2) years of progressively responsible clerical/administrative/office management experience. Experience in healthcare and with confidential information preferred.
Or
Associate degree in business administration or a related program.
Knowledge, Skills & Abilities- Ability to practice effective communication techniques both orally and in writing, including coordinating a variety of resources to gather information and independently answer inquiries.
- Considerable knowledge of effective practices, and ability to plan and complete projects.
- Ability to establish and maintain effective working relationships with subordinates, peers, management, and the general public.
- Skill in organizing workflow and coordinating activities.
- Skilled in using Microsoft Office products.
- Physical requirements:
Sedentary work, lifting up to 20 pounds occasionally, and negligible lifting, carrying, pushing, pulling or otherwise moving objects.
Salary Range – $16.44 - $21.37 per hour.
Exact compensation will be determined based on the candidate's education, experience, external market data, and internal equity considerations.
