Executive Assistant

1585 Broadway NY (Onsite) Duration: 6 Months Contract
Role is 5 days a week in office. There is no opportunity for remote working. Interviews: the first via Zoom and the second in person, to ensure a thorough evaluation of the candidate's fit for the team.
The Executive Assistant will be responsible for performing an array of administrative functions requiring confidentiality, initiative and sound judgment. They will be supporting a trading floor environment, covering 5-9 bankers, and needs to handle a wide range of administrative tasks requiring both confidentiality and initiative. Responsibilities will include providing high-level support, conducting periodic research, preparing reports, managing information requests, and handling clerical functions such as correspondence, visitor reception, conference call arrangements, travel bookings, and meeting scheduling.
It's essential that the candidate is comfortable interacting with staff at all levels in a fast-paced environment, maintaining flexibility, resourcefulness, and efficiency. Professionalism is key, as is the ability to build strong relationships within a highly matrixed organization and independently manage executive support tasks. The role also calls for adapting procedures and processes to align with the department's goals and activities.
Qualifications:
- Minimum of 3 years of experience in an Executive or Administrative Assistant role
- High school diploma or GED is required;
Bachelor's degree preferred - Being able to multi-task in a fast-paced environment
- Experience in calendar management
- Adaptable team player
- Good problem-solving ability
- Strong working experience with Microsoft Word, Excel and PowerPoint, including table creation, mail merges and basic formatting
- Knowledge of general office procedures (e.g., filing, correspondence, scheduling, expenses, calendar)
- Effective interpersonal skills and excellent telephone etiquette
- Tact and good judgment in confidential situations and proven experience interacting with senior management
