About the RoleNutrafol is seeking a detail-oriented multi-tasking Executive Assistant/Office Manager to join our team. The role provides high‑level administrative support to the Executive team and manages the general administration of our New York City office. This hybrid position requires a minimum of 3 in‑office days per week in the Flatiron District.
Responsibilities- Executive Support (80%)
- Provide administrative support to the CEO and seven executives.
- Manage executive calendars, schedule calls, travel, meetings, and coordinate all related arrangements.
- Handle executive travel logistics, group meetings, and interviews.
- Prepare and coordinate executive correspondence and mailings.
- Develop documents, presentations, and reports using G‑Suite and MS Office.
- Review and process executive expense reports in Expensify.
- Supply administrative and meeting support as requested.
- Office Management (20%)
- Manage office mail, supplies, kitchen snacks, and miscellaneous orders.
- Design, communicate, and oversee implementation of office operations, policies, and procedures.
- Improve operational efficiency of systems and processes in partnership with the People Team.
- Maintain office upkeep and “look and feel.”
- Liaise with building staff and external contractors.
- Coordinate office maintenance, resolve issues, and provide event support.
- Develop and maintain virtual files and organization systems.
- Schedule conference rooms and resolve technology issues.
- Assist with furniture acquisition and disposal, onsite storage, and vendor requests.
- Participate in special projects and events.
- Perform other duties as assigned.
- Minimum 3 days per week in office.
- 5+ years of experience as an office administrator, operations manager, or executive assistant supporting executive-level staff.
- Advanced proficiency with G‑Suite, Slack, MS Office, Zoom, and Adobe.
- Strong organizational, prioritization, and multitasking skills.
- Judgment and discretion with confidential information.
- Ability to thrive in a fast‑paced, constantly changing environment.
- Corporate working background preferred.
Salary Range: $120,000 - $135,000 USD
