The Administrative Assistant II will perform a wide range of administrative and office support activities for the Department of Catholic Schools. This full-time position works at the Catholic Center in Baltimore City. Please note that this is an in-office position Monday through Thursday, with the opportunity to work from home on Friday.
Essential Functions- Plan and coordinate professional development and meetings for the Department of Catholic Schools and/or school personnel.
- Maintain records for MSDE certification of Teachers, Assistant Principals, and Principals.
- Assist in the updating of the Department of Catholic Schools Policy Manual.
- Provide support by addressing questions and inquiries from school personnel.
- Offer general administrative support in collaboration with other Department of Catholic Schools office staff.
- Manage SEVIS-related administrative processes for international students.
- Support program coordination and administrative needs. We are getting a new program for this not set yet
- Process AMX (American Express) transactions and reconciliation.
- Process mileage reimbursement for the Chancellor.
- Planning and coordinating of marquee events including Catholic Schools Convocation, Distinctive Scholars Convocation, and Chancellor’s Luncheon
- Maintain contracts for Elementary Principals and High School Principals.
- Process check requests accurately and in a timely manner.
- Maintain and manage the Superintendent’s calendar.
- Update and maintain the Crisis Manual.
- Update and maintain the School Board Manual.
- Order and manage office supplies inventory.
- 2–5 years of experience in an administrative support role.
- Previous experience in an educational setting (preferred).
- Proficient in Microsoft Office, Microsoft Outlook, and Google Docs.
- Knowledge of principles and practice of office management.
- Commitment to exemplary customer service.
- Strong written and verbal communication skills.
- Desire to participate in on-going training.
- Teamwork with an emphasis on flexibility and adaptability.
- Effective problem-solving, prioritization, and decision-making skills.
- Attention to detail and accuracy.
