Staff Assistant (0476)
Support executive‑level faculty in the School of Medicine, manage complex and confidential administrative duties, and maintain efficient organizational operations.
Responsibilities- Interpret new directives, policies and regulations; inform staff of changes and issue instructions on operational matters.
- Control and maintain institutional records, files, reports, and correspondence; keep procedural manuals up to date.
- Assist in preparing complex budgets, provide recommendations and projections, and report financial status of projects.
- Compile data, prepare reports and proposals, and create agendas for faculty and executive team meetings.
- Compose letters and statements in accordance with departmental policies, including travel letters and visa requests for international staff.
- Schedule and coordinate seminars, conferences, appointments, and meetings; attend meetings and serve as a resource person.
- Arrange international steering and executive committee conferences via web‑based video platforms.
- Review reports and forms for the supervisor; identify significant items, errors, or omissions.
- Identify, delegate, and redirect inquiries across institute groups using knowledge of organizational structure and responsibilities.
- Maintain faculty CVs and NIH Biosketches in coordination with the faculty member and DCRI SPOC.
- Oversee and process travel expenses, reimbursements, and procurement card activity for accurate accounting.

Required QualificationsEducation/Training: Two years of post‑secondary education in secretarial science or a related business field.
Experience: Four years of related secretarial/clerical experience; equivalent combination of education and/or experience may be considered.
Position Structure: Hybrid position; remote work may be permitted within the list of approved states as specified by Duke University policies.
Competencies- Articulate with professional presentation and demeanor.
- Preference for medical, clinical, or research experience.
- Track record of sound decision‑making skills and good judgment.
- Experience working with manager‑level executives or higher for at least four years.
- Ability to multi‑task in a fast‑paced environment.
Proficiency in Outlook, Word, Excel, and PowerPoint is required.
Anticipated Pay RangeDuke University provides an annual base salary range for this position of USD $19.80 to USD $30.63. Salary decisions consider role responsibilities, experience, education, key skills, internal equity, and market factors.
