Job Description

Primary

Purpose:

The primary purpose of this job is to provide administrative support to the Superintendent and the Board of Directors. The incumbent of this job exercises leadership and provides direction to all executive operations and is the primary point of contact for the Superintendent’s office.

Essential Functions
  • Manage, prioritize and organize the Superintendent's calendar.
  • Evaluates potentially hostile situations (e.g. involving staff, students, parents the public, etc.) for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution.
  • Respond to and solve a wide variety of calls, concern and/or complaints for the purpose of resolving problems, providing information and/or referring to appropriate personnel.
  • Prepare letters, memorandums, reports and other documents requested by the Superintendent.
  • Prepare and distribute agendas and minutes for administrator meetings, cabinet meetings and board meetings including minutes of meetings involving student and staff appeals.
  • Provide administrative support to board members:
    Schedule travel arrangements, distribute board packets for meetings, send updates to board members, attend all regular board meetings and draft official minutes for board meetings, coordinate official meetings and related functions of the board to ensure efficiency and enhance the board’s effective governance of the school system, and provide other support to the board as directed by the Superintendent.
  • Provide confidential administrative assistance to the Superintendent’s Executive Cabinet related to all areas such as policy, personnel, budget allocation, and labor relations.
  • Provide leadership to build relationships crucial to the success of the District.
  • Manage a variety of special projects for the Superintendent, some of which may have organizational impact.
  • Respond to inquiries from staff and community members directly and/or by referring them to appropriate individuals or departments.
  • Serve as a resource to District families and community partners.
  • Facilitate and coordinate the disciplinary appeals processes for students and employees in compliance with state law and district policy.
  • Maintain and achieve, when appropriate, required records.
  • Process and update District policies.
  • Oversee student online registration system, provide information, and support to buildings and families.
  • Oversee District choice transfer system and process.
  • Work with and support communications Director and receptionists.
  • Provide support to administrative assistants and building secretaries as needed.
  • Complete monthly and annual state reports as required (i.e. District monthly student enrollment and Home-Based Student Annual Report).
  • Serve as a resource and support for district records retention.
  • Responsible for the management of the Superintendent’s office.
  • Comply with the Open Public Meetings Act and Open Public Records Act.
  • Other related duties as assigned.
Other Functions
  • Serve as a resource to other employees on the use of office equipment and computer software.
  • Serve as a resource to other employees on district policy.
Working Relationships

Reports to the Superintendent. Interacts regularly with various administrators, support staff, and other district employees. Contacts with individuals outside of the district include regular contact with parents and community members and occasional contact with Educational Service District 105 staff members and various community agencies.

Working Conditions

The daily work is performed in an office setting and at various sites within the district. The job incumbent is often required to: attend evening meetings or activities; sit for prolonged periods; be exposed to computer display terminal for prolonged periods; deal with sensitive, confidential information; and meet externally imposed and inflexible deadlines.
