Admission Operations Associate
We're hiring an Admission Operations Associate to join our Growth team. This role sits at the front door of care and plays a critical role in ensuring our admissions process runs smoothly, efficiently, and accurately.
As an Admission Operations Associate, you'll provide administrative and operational support across the admissions journey. You will help ensure clinicians can spend their time doing clinical work by owning many of the administrative tasks required to move patients from referral to admission.
This role is ideal for someone who enjoys creating order from complexity, takes pride in getting the details right, and finds satisfaction in supporting a team that is helping families access life-changing care.
What You'll Do- Manage shared admissions email inboxes and voicemail systems, ensuring timely responses, routing, and follow-up
- Serve as a primary administrative point of contact for patients, caregivers, referral sources, and internal team members
- Send, collect, track, and organize required admission documents, including informed consents, releases of information (ROIs), guardianship paperwork, pre-intake forms, and other required documentation
- Request, receive, upload, and organize medical records and supporting clinical documentation
- Create and maintain patient folders, records, and documentation systems in accordance with organizational standards
- Ensure patient records are complete, accurate, and appropriately documented prior to clinical appointments
- Monitor outstanding documentation requirements and proactively follow up with families, providers, and referral sources as needed
- Support appointment scheduling and administrative coordination across the admissions team as needed
- Complete data entry and documentation tasks with a high degree of accuracy and attention to detail
- Support special projects and administrative needs as assigned

- Bachelor's degree preferred; equivalent experience will be considered
- 2+ years of experience in healthcare administration, behavioral health operations, patient access, medical records, customer service, administrative support, or a related field
- Strong organizational and project management skills
- Exceptional attention to detail and ability to manage high volumes of documentation
- Excellent written and verbal communication skills
- Experience managing multiple priorities and deadlines simultaneously
- Comfort navigating changing workflows in a scaling organization
- Experience working with electronic health records, patient management systems, or healthcare technology platforms preferred
- Ability to maintain confidentiality and handle sensitive information appropriately
- Must be 18 years or older
- Attendance at 2+ in-person events per year required
Job Type: Full-time position
Work Environment:
Remote, home office environment
Salary: $50,000 - $59,000
Schedule:
Typical schedule is 8:30 AM–5:00 PM in your local time zone, Monday through Friday.
