Position: Administrative Specialist 2 (General Operations Division)

As an Administrative Specialist 2 in the Passaic Vicinage General Operations Division, you will provide professional and administrative support for the Division under the direction of the Court Executive 2B or designee, enhancing court operations and service delivery.

Salary

The salary range for this position is $54,434.49 to $89,181.84 for Schedule A, and $54,434.49 to $84,722.75 for Schedule B. Newly hired individuals will normally receive a salary at the minimum of the salary range.

Remote Work

The Judiciary offers a hybrid work schedule. This position may qualify for up to 2 days of remote work outside of Judiciary buildings, provided you install a multifactor authentication app and have high‑speed home internet access.

Responsibilities
  • Coordinate workflow to team members or other groups with assigned tasks.
  • Analyze data and reports for distribution or action.
  • Answer questions posed by judges, attorneys, community organizations, the public, clients, customers, complainants, co‑workers, subordinates, or management.
  • Screen confidential material for release to the public or authorized persons or agencies.
  • Facilitate and provide support for Records Management and inventory of off‑site storage warehouse, including entry and upkeep of the records database and processing transfer and destruction paperwork.
  • Provide cross‑training to co‑workers and deliver direction and feedback.
  • Oversee and coordinate state vehicle fleet, including maintenance and service.
  • Assist with all mailroom operations, including processing mail delivery.
  • Provide public access case information to court users and create and display vicinage signage.
  • Provide customer service to jurors, including virtual selection as Zoom moderator, in‑person juror check‑in, payments, and coordination of Judiciary tablets and Grand Jury hearings.
  • Oversee, organize, and implement media technology for courtroom presentation, including video teleconference, sound amplification systems, and assistive listening devices; troubleshoot and act as Court Smart liaison with IT and appellate divisions.
  • Plan and implement projects or programs, recommend utilization of available funds, equipment, and materials, submit requisitions, and organize vicinage events.
  • Serve as liaison to Passaic County Buildings and Grounds, Passaic County Sheriff’s Department, and Passaic County Administrator’s Office, reporting on building operations, conducting security/facility surveys, and following up on remediation.
  • Attend, record minutes, and conduct follow‑up for all facility meetings.
  • Coordinate facility projects, renovations, relocations, and asset-related duties, including fixed‑asset reconciliation and audits for compliance with policies and procedures.
  • Serve as back‑up to the Interpreter’s Unit and other areas as needed, processing payment vouchers and related duties.
Qualifications
  • Graduation from an accredited college or university with a bachelor’s degree.
  • Applicants without the required education may substitute additional paraprofessional and/or professional experience on a year‑for‑year basis, with one year of experience equal to 30 semester‑hours.
  • An associate degree with two years of additional experience may substitute for a bachelor’s degree.
  • Applicants approaching their anticipated graduation date may apply; if selected, the candidate must complete their degree by their start date.
  • Degrees conferred outside of the United States must be evaluated by a recognized evaluation service (e.g., NACES).
Other Requirements

Driver’s License: A valid New Jersey driver’s license is required only if vehicle operation is necessary for essential duties.

Authorization to Work: U.S. citizenship is not required; the selected candidate must be authorized to work in the U.S. in accordance with U.S. Department of Homeland Security, U.S. Citizenship and Immigration Services regulations.

Background Check:
Newly hired employees must agree to a thorough background check that will include fingerprinting; all data except the findings will be kept confidential.

Residency Law:
Newly hired employees within one year of employment must establish and maintain principal residence in New Jersey. Exemptions may be requested for hardship or employer critical need.
