The Accounting Clerk will be responsible for performing various administrative and accounting tasks to support the overall accounting cycle, primarily performing bank reconciliations, processing accounts payable invoices, and purchase orders. Those tasks will require a high level of attention to detail and organizational skills. This is a full‑time position.
EssentialJob Duties
- Accounts Payable:
Process accounts payable, including scanning, coding, posting and payment - Bank Reconciliations:
Perform bank and credit card reconciliations for all accounts by matching related statement with company records. - Data Entry:
Post various financial transactions, including journal entries, purchase orders, electronic payments and deposits - Filing and Record Keeping:
Organize and maintain financial records in proper filing electronic systems. - Compliance:
Assist with vendor W9 and COI collection, updates, and review - Administration:
Backup front desk with answering phone calls, greeting visitors, receiving deliveries and errands, as needed. - Various out-of-office errands including the post office (daily), bank, supply store, occasional lunch pickup and other errands as needed.
- Microsoft Office:
Intermediate level experience with Microsoft 365 Office Suite, emphasis with Excel - Strong mathematical and analytical skills
- Excellent attention to detail, time management, and communication skills
- Looking for someone with at least 2 years’ experience
- Successful candidate values the need to support others, importance of the “details” and getting it right the first time.
- High School Diploma or equivalent with 1 year of administrative office experience.
- Ability to communicate clearly and effectively with the public, employees, customers, and trade partners.
- At least 21 years of age.
- Valid driver’s license with reliable transportation and at least 3 years of driving history (per insurance requirements).
- Associate or bachelor’s degree with experience working in an office environment, preferably an Accounting degree
- Experience working within the architectural, engineering or construction industry.
- Software
Experience:
Quick Books Enterprise (Intermediate), Excel, PDF Editing, Smartsheet, MS Sharepoint. - Notary Public and/or willingness to pursue.
We are an “in‑person” work environment, this position is not eligible for hybrid or remote work. Office hours are 7:30 am to 5:30 pm, Monday through Thursday and 7:30 am to 12:00 pm on Friday. This position will work 40 hours per week.
Requirements Working ConditionsContinually operate in an office environment with exposure to artificial lighting and within a normal temperature range as noted by OSHA. Must be able to remain in a stationary position 50% of the time and able to regularly move about the office to access filing cabinets, office equipment and breakroom equipment. Able to continually operate a computer and other office equipment such as a printer, copier, shredder, etc..
Frequent operation of a motor vehicle with the need to exit and enter the vehicle multiple times. Frequently lift and/or move boxes weighing up to 20 pounds within the office and/or from a vehicle to inside the office.
