Executive Personal Assistant

Executive Personal Assistant (EPA). This role requires a self-motivated, organized, detail-oriented professional with experience supporting high-profile individuals and families. The EPA will handle traditional and non-traditional tasks, anticipate unspoken needs, and consistently prioritize with exceptional attention to detail, tidiness, and organization. The role operates in a dynamic environment where tasks may occur while the Principal is on calls. Active listening, discretion, and professionalism are essential due to handling highly confidential information.

The EPA will maintain an impeccably organized workspace and systems to ensure smooth operation.

Responsibilities
  • Calendar & Travel Management
    • Manage a dynamic, multi-time zone calendar including business meetings, personal appointments, family routines, and travel coordination
    • Organize and support international and domestic travel: itineraries, packing preparation, hotel and activity planning, and ensuring essentials are accounted for
    • Conduct regular check-ins to align on daily priorities and evolving needs
    • Prepare briefing notes, background research, and logistical details for meetings or events
  • Personal & Family Support
    • Act as a trusted point of contact between the principal and their network
    • Assist with planning and executing family gatherings and celebrations
    • Provide structure and continuity in the home when the principal is traveling
    • Maintain frequent and clear communication to ensure alignment across routines and responsibilities
    • Collaborate with staff supporting immediate family members for seamless coordination
  • Household & Lifestyle Management
    • Oversee household tasks, coordinate with domestic staff, and manage maintenance or design projects
    • Handle personal shopping requests (groceries, clothing, etc.) ensuring preferences and quality
    • Collaborate on meal planning and coordinating meal deliveries or personal chef services
  • Gifting & Social Relationship Management
    • Curate thoughtful gifts reflecting preferences, cultural considerations, and the principal’s brand image
    • Maintain records of past gifts and important dates to ensure personalization
    • Proactively manage social relationships by tracking key relationships and engagement opportunities
    • Facilitate connections and follow-ups to strengthen personal and professional relationships
  • Board Governance Support
    • Assist with coordinating and scheduling board and committee meetings
    • Prepare and distribute agendas and briefing materials
    • Record meeting minutes, track action items, and follow up on deadlines
    • Maintain organized governance records and monitor timelines for actions or compliance
  • Communication & Administrative Support
    • Draft, edit, and manage personal and professional correspondence
    • Monitor and manage multiple email accounts (Gmail, Outlook)
    • Keep digital files, contacts, and notes organized and accessible
    • Assist with project management, deadlines, and vendor follow-ups; help develop SOPs for the Office of the Chairman
    • Maintain accurate financial records, assist with budgeting, bill payment, and expense tracking
  • Technology, Data & Confidentiality
    • Be highly proficient with tools and systems to improve efficiency
    • Ensure secure data management with backups and organized filing
    • Read, research, route correspondence, draft documents, and analyze information to support decisions
    • Exercise discretion handling personal matters and confidential communications
  • Additional Duties & Special Projects
    • Anticipate needs and offer proactive solutions
    • Carry out additional duties and assist with special projects as assigned
  • Work Hours & Flexibility
    • Full-time role with core daytime hours; flexibility and availability for extended hours as needed
    • Work beyond a traditional office setting, including during travel or from a home office
    • Be available for last-minute schedule changes and after-hours coordination
    • Develop the ability to manage your schedule and location in alignment with the role’s rhythms
Qualifications
  • Bachelor’s degree preferred, but not required
  • 3–5 years of experience as a Personal, Executive, or Administrative Assistant or similar role
