Major Responsibilities and Authority
  • Administer assigned Organization Division programs, including day‑to‑day administrative coordination and record management for scholarship and grant programs.
  • Maintain accurate program records, applications, participant data, and supporting documentation in accordance with record retention and confidentiality standards.
  • Provide administrative and logistical support to department heads to ensure successful execution of division programming.
  • Assist with scheduling, deadlines, and administrative coordination related to division programming.
  • Produce and manage all requested correspondence.
  • Maintain filing systems, answer telephones, take and deliver messages.
  • Perform all other basic administrative tasks as directed and assigned by the Director of Organization.
  • Assist on‑site as requested with functions and meetings that may be held at the home office or out‑of‑town, after‑hours and on weekends.
  • Assist with registration, clerical work, food service, hospitality issues, lodging requirements, transportation and document and materials preparation.
  • Communicate and work effectively and efficiently with personnel in other Divisions, Departments and Affiliated Companies.
  • Other duties as assigned.
Minimum Position Qualifications
  • High School diploma or equivalent required: post‑secondary education a plus.
  • Proven administrative or office support experience.
  • Efficient clerical skills, including but not limited to a working knowledge of personal computers and standard business software, including Microsoft Word, Microsoft Outlook, PowerPoint and Excel, as well as working knowledge of copy machines and other office equipment.
  • Experience updating web‑based content preferred.
  • Excellent communication skills, both written and oral.
  • Strong organizational skills with ability to multitask.
Physical Requirements
  • Repeated use of PC, telephone and office machines.
  • Extended periods of sitting and concentrating.
  • Occasional bending, twisting, crouching, pulling, pushing, and reaching in both office and show environments.
  • Occasional lifting and moving items weighing up to 30 lbs.
Working Conditions
  • Occasional long, irregular work hours.
  • Work to be conducted in office environment owned or leased by company.
