Major Responsibilities and Authority- Administer assigned Organization Division programs, including day‑to‑day administrative coordination and record management for scholarship and grant programs.
- Maintain accurate program records, applications, participant data, and supporting documentation in accordance with record retention and confidentiality standards.
- Provide administrative and logistical support to department heads to ensure successful execution of division programming.
- Assist with scheduling, deadlines, and administrative coordination related to division programming.
- Produce and manage all requested correspondence.
- Maintain filing systems, answer telephones, take and deliver messages.
- Perform all other basic administrative tasks as directed and assigned by the Director of Organization.
- Assist on‑site as requested with functions and meetings that may be held at the home office or out‑of‑town, after‑hours and on weekends.
- Assist with registration, clerical work, food service, hospitality issues, lodging requirements, transportation and document and materials preparation.
- Communicate and work effectively and efficiently with personnel in other Divisions, Departments and Affiliated Companies.
- Other duties as assigned.
- High School diploma or equivalent required: post‑secondary education a plus.
- Proven administrative or office support experience.
- Efficient clerical skills, including but not limited to a working knowledge of personal computers and standard business software, including Microsoft Word, Microsoft Outlook, PowerPoint and Excel, as well as working knowledge of copy machines and other office equipment.
- Experience updating web‑based content preferred.
- Excellent communication skills, both written and oral.
- Strong organizational skills with ability to multitask.
- Repeated use of PC, telephone and office machines.
- Extended periods of sitting and concentrating.
- Occasional bending, twisting, crouching, pulling, pushing, and reaching in both office and show environments.
- Occasional lifting and moving items weighing up to 30 lbs.
- Occasional long, irregular work hours.
- Work to be conducted in office environment owned or leased by company.
