Position Summary

We are seeking a highly organized, detail‑oriented Virtual Executive Assistant to join our remote team. In this role you will perform high‑level administrative tasks, support senior‑level managers, manage calendars, arrange travel and prepare expense reports, and contribute to the efficiency of the business by providing personalized and timely support.

Hours

Monday, Friday, Tuesday 2:00 PM – 10:00 PM EST & Saturday, Sunday 10:00 AM – 7:00 PM EST

Key Responsibilities
  • Manage a complex and busy schedule
  • Plan, coordinate logistics, and execute operations work
  • Provide comprehensive administrative support
  • Coordinate individual and group travel
  • Handle confidential and sensitive information with discretion
  • Assist with data entry, project completion, event/meeting planning, filing, mail handling and correspondence processing
  • Organize meetings, summits and presentations from start to finish
  • Screen phone calls, draft correspondence, prepare documents, handle bill payment and record keeping
  • Perform errands as needed
  • Create and maintain action items, to‑do lists, follow‑ups and status updates
  • Perform Chief of Staff level duties and/or project management tasks
  • Handle procurement and logistics‑level duties
Eligibility and Background Checks
  • Must be authorized to work in the country where the job is based
  • Must be willing to submit up to a Level II background and/or security investigation with a fingerprint; job offers are contingent on background/security investigation results
  • Must be willing to submit to drug screening; job offers are contingent on drug screening results
Qualifications
  • Proven experience as an Executive Assistant or Personal Assistant (BPO preferred)
  • Excellent command of English
  • Strong judgment in handling confidential information with discretion
  • Knowledge of office management systems and procedures
  • Proficiency in MS Office, especially Excel and Power Point
  • Excellent time‑management and prioritization skills
  • Attention to detail and problem‑solving abilities
  • Strong written and verbal communication skills
  • Strong organizational skills with the ability to multi‑task
  • Wired, high‑speed internet connection (download speed of 20 Mbps or higher)
Working Conditions

This position operates in a professional office environment. The employee will be largely sedentary and required to sit/stand for long periods while using a computer and telephone headset. The employee may need to use a phone, copier, printer, and occasionally move about the office to accomplish tasks, reach in any direction, raise or lower objects, or move objects up to 40 pounds.
