We are seeking a highly organized, proactive, and versatile Operations & Office Administrator to join our team. This dynamic role is ideal for a multi-talented professional who thrives on variety and can seamlessly shift between high-level executive support, office management, vendor relations, and foundational compliance tasks.
The ideal candidate will serve as a key anchor for our daily operations, providing critical administrative support to the CEO, managing essential business logistics, and ensuring excellent communication with external vendors and clients. This position offers a flexible hybrid work schedule, requiring a regular physical presence at our office in Cumming, GA, alongside remote work flexibility.
CORE RESPONSIBILITIES Executive & Administrative Support- CEO Support :
Execute diverse ad‑hoc tasks, projects, and administrative duties directly for the CEO to optimize leadership efficiency. - Travel & Event Coordination :
End‑to‑end planning, booking, and logistical organization for business trips, itineraries, professional engagements, corporate events, meetings, and company outings. - Communications :
Handle incoming phone calls with a professional, welcoming demeanor, routing inquiries and capturing detailed messages accurately.
- Vendor Onboarding :
Coordinate the collection of necessary documentation (W-9s, insurance certificates, contracts) to successfully onboard new vendors and partners. - IT & Telecom Liaison :
Act as the primary point of contact for Ring Central and other technology providers to promptly resolve technical, hardware, or connectivity issues. - Procurement :
Manage the inventory, ordering, and distribution of corporate business cards and branded marketing materials. - Office Facilities & Mail :
Oversee daily mail handling, facilitate check deposits, and manage utility accounts (internet, water, etc.).
- Business Licensing :
Monitor, track, and execute timely renewals for corporate business licenses and regulatory permits to maintain active compliance. - Legal Coordination :
Assist with organizing documentation, managing timelines, filings, and administrative preparation for Small Claims Court matters. - Reputation Management :
Monitor online channels and compose professional, on‑brand responses to Google Reviews to maintain high client satisfaction and public image.
- Experience : 3+ years of experience in Office Administration, Operations Coordination, Executive Assistant roles, or a similar blended position.
- Technical Proficiency :
Familiarity with Google Workspace, Microsoft Office, and cloud‑based telecom platforms (experience with Ring Central is a plus). - Communication Skills :
Excellent verbal communication for phone management and strong, polished written skills for public customer service responses. - Problem‑Solving Capabilities :
Highly resourceful with a "figure‑it‑out" mindset, especially when navigating minor technical issues or specialized projects like legal filings. - Organization & Autonomy :
Exceptional time‑management skills; proven ability to track recurring annual deadlines (e.g., license renewals) and handle confidential data with complete discretion. - Location Requirement :
Must live within reasonable commuting distance of Cumming, GA, to fulfill the in‑office portion of the hybrid schedule.
Arrangement :
Hybrid role splitting time between a remote home office and our physical workspace in Cumming, GA.
Schedule :
General business hours (Monday – Friday), with specific in‑office days to be coordinated collaboratively with the CEO based on operational needs, averaging 3 days in office per week.
Compensation :
Base salary of approximately $50,000, commensurate with experience.
