Overview

California Central Coast Hourly Rate: $27.48 - $38.48

While candidates from anywhere in California are welcome to apply, there is a strong preference for those who reside on the Central Coast (Ventura, Santa Barbara, San Luis Obispo, Monterey and Santa Cruz Counties). This role may offer opportunities for remote work; however, familiarity with and proximity to our local customers is valued.

This position requires at least 2 days per week in our Santa Barbara office.

Description

The Legal Coordinator provides comprehensive administrative, organizational, and operational support to the Legal Department. This role is critical in ensuring efficient legal workflows, regulatory compliance, contract management, and coordination of legal activities across the organization. The Legal Coordinator serves as a key liaison between internal departments, external counsel, regulatory agencies, and vendors, supporting the Legal Department in advancing the organization's mission to deliver high-quality, compliant healthcare services.

Duties

and Responsibilities

Legal & Administrative Support

  • Provide direct administrative support to the Legal Officer and Legal Department, including calendar management, meeting coordination, routing legal mail, phone calls, responding to voicemails and correspondence.
  • Prepare, format, proofread and maintain legal documents, reports, presentations, and communications.
  • Organize and maintain physical and hard copy legal files, contracts, and records in accordance with document retention policies.
  • Assist in proper handling, processing, tracking and coordination of legal documents, including legal notices, subpoenas, contracts, state fair hearings, public record act requests, government claims and submission of filings.

Perform invoice processing, coordinate with Finance regarding the creation and processing of checks, and handling purchase orders and payments.

  • Assist in tracking regulatory filings, deadlines, and reporting requirements relevant to health plan operations.
  • Support audits, compliance reviews, and regulatory inquiries by gathering documentation and coordinating responses.
  • Stay informed of healthcare regulatory updates and assist in disseminating information internally.

Cross-Functional Collaboration

  • Serve as a liaison between Legal, Compliance, People Operations, Finance, and other departments.
  • Coordinate with external legal counsel and vendors as directed.
  • Support enterprise-wide initiatives that require legal input or oversight.

Meeting & Project Coordination

  • Schedule and coordinate legal meetings, including preparation of agendas, materials, and minutes.
  • Track action items and follow-ups to ensure timely completion.
  • Assist with special projects, policy development, and department initiatives.

Confidentiality & Risk Management

  • Handle sensitive and confidential information with the highest level of discretion.
  • Support risk mitigation efforts by ensuring proper documentation and adherence to legal processes.
Qualifications

Knowledge/Skills/Abilities

  • Strong understanding of legal administrative processes.
  • Familiarity with healthcare laws and regulations (e.g., Medi-Cal, HIPAA) preferred.
  • Exceptional organizational skills with strong attention to detail and accuracy.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and document/contract management systems.
  • Ability to maintain confidentiality and exercise sound judgment.

Education and Experience

  • Associate's (required) or Bachelor's degree (preferred) in Business Administration, Legal Studies, Healthcare Administration, or related field preferred.
  • Minimum of 3–5 years of administrative or coordination experience, preferably in a legal, healthcare, or regulated environment.
  • Experience in a health plan, healthcare organization, or public agency is highly desirable.
