Job DescriptionThe Operations Coordinator provides functional operational support across the Office of Online Student Success, specifically relating to student records management, record keeping, and enrollment and advising processes. The position coordinates operations around all student records processing for online degree programs through Syracuse University Global. Responsibilities include accurate and prompt maintenance and processing of student records, adherence to academic rules, regulations, and processes, and training and coordinating other staff in the office on implementation of relevant procedures.
Regular on-campus presence and occasional schedule flexibility, including evenings and weekends, are required based on student and operational needs. The role operates in a fast‑paced, collaborative environment supporting non‑traditional learners through an evolving, data‑informed model.
Associate’s degree required;
Bachelor’s degree preferred. 2–4 plus years of office/administrative experience required, preferably in an academic environment.
Knowledge of university policies and procedures, rules and regulations, and college interpretation. Ability to work with all relevant systems, including OnBase, People Soft, College Net, and Degree Works. Strong customer service skill set, problem‑solving skills, and detail‑oriented administrative skills.
Responsibilities- Manage and maintain both online and physical student records, primarily in People Soft, OnBase, and Degree Works.
- Process matriculations of new students, petitions, IUTs, transfer credit, declarations, exceptions, FERPA Regulation forms, and other student services related documents.
- Maintain accuracy of student record keeping.
- Serve as primary point of contact for student correspondence within the Office of Online Student Success, via phone and email.
- Coordinate phone tree, general office email coverage, shared calendars, and usage for all Online Student Success team members.
- Manage OnBase processes for student record keeping, including scanning and indexing documents, maintaining and converting records, and developing new workflows.
- Provide guidance for colleagues on navigating OnBase, People Soft, and other relevant systems.
- Assist with implementation of new projects/systems/processes/training.
- Develop and maintain instructional/training documentation for colleagues and relevant constituents.
- Manage content updates to student resources and staff training resources.
- Perform continual follow‑up and refinement to ensure precise tracking of student records.
- Develop and maintain reporting systems to support tracking.
- Execute systematic maintenance/auditing of student records.
