Essential Job FunctionsThis entry‑level clerical position performs case processing duties and responsibilities daily, with a high volume of data entry work for multiple case types, including civil, criminal, and traffic court cases for the Montgomery County District Court. Responsibilities include greeting the public and court personnel, assisting with case information, completing court forms, explaining policies and procedures by telephone or in person, and performing other duties as assigned.
Essential Duties and Responsibilities- Receive filings/new cases and verify that filings meet requirements per rules and fees associated with filing.
- Distribute filings to appropriate desk or queue.
- Assist customers by telephone and at the office counter, providing information within office guidelines.
- Assist and perform clerk duties in other sections as needed.
- Retrieve files from the file room for pleadings.
- File cases that have been updated.
- Perform other duties as assigned, including providing backup cashier duties.
- Education: High school diploma (or GED equivalent).
- Experience: One year of work experience, preferably in court operations or in the fields of criminal justice, parole and probation, legal or financial services.
- Substitutions: A Bachelor's Degree, a Paralegal/Associate's Degree or 60 college credits, or a Paralegal Certificate may substitute the required work experience.
- Knowledge of general office practices, procedures, and equipment.
- Knowledge of standard legal forms and documents used in the Judiciary.
- Basic English and arithmetic skills.
- Customer service and problem handling skills.
- Typing on a personal computer.
- Accuracy and attention to detail.
- Use standard office and business equipment, including computers, word processing, spreadsheets, database software, copier, microfilm machine, register, scanner, fax machine, etc.
- Maintain alphabetical and numerical filing systems.
- Communicate clearly with judges, the public, police agencies, attorneys, and other court officials both verbally and in writing.
- Understand and abide by departmental rules, regulations, and procedures.
- Exercise tact, diplomacy, and impartiality in dealing with the public, law enforcement personnel, and attorneys.
- Follow procedures, verbal and written instructions, and protocols for assigned tasks.
- Use proper grammar, punctuation, and spelling.
- Exercise independent judgment in interpreting and applying policy, procedure, rule, law, or regulation.
- Maintain confidentiality of documents filed in the clerk’s office and matters heard in court.
Sedentary work; may require lifting up to 10 pounds occasionally.
Equipment, Machinery, and ToolsComputer, photocopying/scanning/fax machine, postage machine, multi‑line telephone, paper shredder, time stamp machine, calculator, computerized cash register (if performing cashier duties), laptop and dual monitor for remote work.
