Summary of Position
The primary duties of the Receptionist/Administrative Assistant position will be to receive calls and direct callers to the appropriate employee, greet guests, facilitate questions, handle mail, and help in general operation of office functions. In addition, the position will interact with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization.
Independent judgment is required to plan, prioritize and organize diversified workload. This position is required to be full-time, in office 5 days a week.

In addition, the position will interact with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization.

- Efficiently and effectively answer telephone calls by screening calls and directing callers to the appropriate person and answering caller questions in a professional and friendly manner taking a message if necessary.
- Manage and monitor inventory of office supplies, paper, and business forms. Order supplies as needed or when requested. Reconcile invoices and vendor payments.
- Keep current records of employees' availability i.e. meetings in and out of the office.
- Sort and distribute mail, courier packages and overnight packages as they arrive.
- Contact appropriate company for machine failures and equipment supplies as needed throughout the office. (Coffee, Water, Vending, Copiers and Postage Meter).
- Order couriers and overnight services as needed. Reconcile invoices and vendor payments for all courier companies and overnight services.
- Other duties and projects as assigned, including The Goodman Group Platinum Service program.
- Must possess the ability to make independent decisions, follow instructions, and accept constructive criticism.
- Must be able to deal tactfully with personnel, residents, family members, visitors, government agencies/personnel, and the general public.
- Must be able to speak, write and understand English in a manner that is sufficient for effective communication with supervisors, employees, residents, and families.
- High school diploma or general education degree (GED); or two years related experience and/or training; or equivalent combination of education and experience.
- Proficient in MS Office software is essential, including but not limited to Excel, Power Point, Outlook, Word, etc.
- Prompt and regular attendance mandatory, except for previously planned time off.
- Must be capable of performing the essential functions of the job, with or without reasonable accommodations.
- Professional appearance and attitude a must.
This position does not have any direct reports or supervisory requirements.
Working Conditions and Physical DemandsTasks assigned to this position may involve potential and/or direct exposure to blood, body fluids, infectious diseases, air contaminants, and hazardous chemicals.
Physical Requirements- Prolonged periods of sitting at a desk and working on a computer & telephone
