Office Administrator/ Coordinator
Position Overview
The Office of Technology Transfer (OTT) seeks candidates for the job of Administrative Assistant (Intermediate Support level). This position reports to the Associate Vice President and Director of OTT.
The mission of OTT is to protect Penn State intellectual property (IP), identify its commercial potential, and stimulate economic development through the transfer of Penn State technologies to the marketplace.
Due to this position requiring access to sensitive information, candidates must be U.S. citizens.

Responsibilities- First point of contact for our office to greet visitors, guests, and the point person for conference room technology
- Respond to routine and moderately complex questions/issues concerning the OTT office
- Maintain inventory and order office supplies
- Compile and organize information to develop agendas and meeting materials
- Arrange meetings and assist in the coordination of events
- Support the planning and coordination of moderately complex projects
- May assist in preparing invoices and other financial documents
- Assist in travel expenses and reporting
- Prepare and route contracts for signature
- Coordinate with internal Penn State teams (procurement, finance, etc.) to obtain information
- Maintain files and ensure proper storage, retention, and security
- Maintain and monitor the internal email box
- Other duties as assigned
Working knowledge of University business systems (SIMBA, SAP Concur) is preferred. Proficiency in MS Office (Word, Excel, Office 365) is required. The successful candidate must demonstrate sensitivity in handling confidential information, attention to detail, customer service skills, excellent communication skills (oral and written), and a willingness to learn new technologies.
Work ArrangementThis is a 100% onsite position and will work out of our University Park campus.
Minimum Education , Work Experience & Required CertificationsGeneral Equivalency Diploma (GED) or High School (HS) + 2+ years of relevant experience; or an equivalent combination of education and experience accepted. Required

Salary & BenefitsThe salary range for this position, including all possible grades, is $40,608.00 - $58,836.00.
