The Clinical Administrative Coordinator manages administrative intake of members using ICUE and Community Care, collaborates with hospitals, clinics, facilities, and the clinical team, and processes referrals and prior authorizations. The role includes handling inbound calls, supporting clinical staff, and maintaining member/provider correspondence.
Position Type:
Full‑time (40 hours per week).
Working hours:
Monday‑Friday, 8:30 AM–5:00 PM (Eastern Standard Time), with flexibility for occasional overtime as needed.
Training: 2 weeks of virtual training from home.
Travel: 0–10% for quarterly meetings at the East Brunswick, NJ office.
Telecommute:
Eligible for telecommuting if residing within New Jersey and meeting the remote work area and internet requirements.
- Managing administrative intake of members
- Working with hospitals, clinics, facilities, and the clinical team to manage requests for services from members and/or providers
- Processing incoming and outgoing referrals and prior authorizations, including intake, notification and census roles
- Assisting the clinical staff with setting up documents/triage cases for Clinical Coverage Review
- Resolving inquiries from members and/or providers
- Extracting and reviewing fax requests for medical or clinical services, ensuring assignment to the correct individual(s)
- Accessing electronic member files using policy or r
- Determining member eligibility
- Providing support to field staff in locating providers, including calling/emailing/faxing multiple providers
- Mailing member materials, including care plans, and sorting and distributing incoming correspondence via hard copy or e‑mail
- Faxing care plans to providers on the members’ care team
- Following protocols to task requests appropriately
- Referencing automated job aid tools via the computer to identify appropriate procedures when needed
- Consistently meeting established productivity, schedule adherence, and quality standards while maintaining good attendance
- Maintaining confidentiality and adhering to HIPAA requirements
- Managing heavy call volume
- Performing other duties as assigned

- High School Diploma or GED
- At least 2 years of customer service experience in healthcare or insurance
- Intermediate proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook) and Windows applications
- Ability to learn and use new computer systems
- Availability to work 40 hours per week, Monday‑Friday, 8:30 AM–5:00 PM, with occasional overtime
- Residency within the state of New Jersey
- Experience in a hospital, physician's office, or medical clinic setting
- Experience working in a call center
- Background in clerical or administrative support
- Knowledge of ICD‑9 and CPT codes
- Residency within New Jersey
- Dedicated, private work area separated from living spaces and ensuring document privacy
- Secure handling of company sensitive documents
- High‑speed internet capable of meeting United Health Group standards
- Excellent written and verbal communication skills
- Ability to work independently and as part of a team
- Focus and productivity in repetitive tasks
