The Administrative Manager will oversee all administrative functions for Velocity1, ensuring smooth operations across procurement, billing, and contract management. This role is responsible for managing systems such as quoting tools, ERP, and CRM/PSA platforms to maintain accuracy and efficiency in workflows. The Administrative Manager works closely with leadership and cross‑functional teams to establish best practices, streamline processes, and support operational excellence.
Strong organizational skills, attention to detail, and the ability to manage multiple priorities are essential for success in this role.
- Administrative Leadership:
Oversee all administrative functions including procurement, billing, and contract management. - System Oversight:
Manage and optimize operational systems such as quoting tools, ERP, and CRM/PSA platforms. - Process Improvement:
Develop and implement best practices to improve efficiency and accuracy across administrative workflows. - Cross‑Team
Collaboration:
Work closely with sales, operations, and onboarding teams to ensure seamless processes. - Compliance & Accuracy:
Ensure all administrative activities adhere to company standards and compliance requirements.
- Oversee procurement processes, including vendor management and purchase order approvals.
- Manage billing operations to ensure timely and accurate invoicing.
- Assist with optimization of ERP and CRM/PSA systems for data integrity and workflow efficiency.
- Coordinate contract management activities, including validation and compliance checks.
- Collaborate with sales and operations teams to support quoting and order processing.
- Monitor administrative team performance and implement process improvements.
- Assist with reporting and analytics to support leadership decision‑making.
- Ensure proper documentation and record‑keeping for all administrative functions.
Oversee and provide leadership to the Admin team.
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, and photocopiers. It will also require ongoing training to support new technologies.
Physical DemandsAbility to sit at a computer for prolonged periods of time. Ability to lift up to 25 lbs.
Position Type / Expected Hours of WorkRegular work hours are Monday through Friday from 8:00 to 5:00 with a 1‑hour lunch break. There will be occasional overtime, including evening and weekend hours required as we accommodate our customers’ requirements. Employees will be expected to report to their local respective offices unless otherwise approved to work from home.
TravelMinimal overnight travel required. Majority of travel will be for onsite training engagements during business hours. Special circumstances and company events may also require additional travel.
RequiredEducation and Experience
High School diploma required. Must have some level of admin/support level experience—data entry, workflow, billing, etc.
PreferredEducation and Experience
College degree a plus but not required.
Previous manager or supervisor role preferred.
