Executive Assistant
Our client, a highly discreet family office supporting ultra-high-net-worth (UHNW) individuals, is seeking a trustworthy and detail-oriented Executive Assistant to join their small, collaborative team. This role will begin on a part-time, temporary basis (20–30 hours per week) with strong potential to transition into a full-time, long-term position shortly after hire.
This is a unique opportunity for a flexible, service-oriented professional who thrives in a high-touch environment and enjoys creating seamless experiences for principals. The role is fully remote with highly flexible hours, though candidates must be responsive and available during travel periods, including occasional weekend support.
Executive Assistant | San Francisco Bay Area (Remote) | $45–$60/hr What You'll Do
- Coordinate complex domestic and international travel logistics, including private jet scheduling, ground transportation, accommodations, and detailed itineraries
- Manage end-to-end travel experiences to ensure seamless, high-touch execution for principals
- Provide traditional executive support, including calendar management, scheduling, and general administrative coordination
- Assist with operational tasks such as HR support, payroll coordination, document management, and light accounting
- Support estate planning processes and maintain organized, confidential records
- Serve as a reliable point of contact, communicating primarily via email and Whats App
- Assist with occasional personal support tasks as needed (limited PA responsibilities)
- Contribute to broader operational needs within a small, fast-moving team environment
- Anticipate needs proactively and execute with precision, discretion, and strong attention to detail
What We're Looking For
- Prior Executive Assistant, Personal Assistant, or operations experience (family office experience a plus, but not required)
- Proven ability to manage complex travel logistics, ideally with exposure to private or high-touch travel coordination
- Highly detail-oriented with exceptional organizational and follow-through skills
- Trustworthy, discreet, and interested in a long-term opportunity
- Comfortable working independently in a fully remote, small-team environment
- Flexible and responsive, with availability to support during travel and occasional weekends
- Strong communication skills and comfort using email and messaging platforms such as Whats App
- Ability to multitask and adapt quickly across both administrative and operational responsibilities
- Open to candidates from a variety of professional backgrounds
- Based in the broader Bay Area preferred
