Hawkeye Partners is seeking a professional, highly organized Executive Assistant & Office Manager to support the Partner, Client Solutions and other Partners across the firm. This is a majority executive-support role - managing complex calendars, travel, investor-facing materials, and high-touch stakeholder coordination for a small group of senior leaders - paired with day-to-day office management responsibilities for Hawkeye's Austin home office.
The ideal candidate has prior experience supporting senior leadership within financial services and is comfortable operating with discretion in a fast-paced, entrepreneurial environment, and takes ownership of both the details and the atmosphere of the office.
Proactively manage complex, ever-changing calendars for the Partner, Client Solutions and supporting Partners, resolving scheduling conflicts and prioritization issues, and serving as a key point of contact for internal and external communications, including investor, prospective LP, and consultant inquiries.
Travel CoordinationArrange domestic and international travel - flights, hotels, ground transportation, and detailed itineraries - for investor meetings, conferences, and capital-raising trips, with contingency planning for last-minute changes.
Meeting & Investor Relations SupportCoordinate and prepare for investor meetings, calls, and conferences, including logistics, materials assembly, and CRM/database updates (e.g., contact records, meeting notes, and follow-up tracking); assist in proofreading and formatting investor-facing decks, meeting briefs, and correspondence to a polished, error-free standard.
Expense & Administrative SupportPrepare, submit, and reconcile expense reports; track and follow up on outstanding action items; maintain accurate records and filing systems; support ad hoc projects and special assignments as directed by the Partners.
Office Management - AustinServe as the on-the-ground owner of Hawkeye's Austin home office: manage vendor relationships (IT, facilities, catering, supplies), oversee office presentation and day-to-day operations, coordinate with building management, and ensure the office is well-run, welcoming, and equipped to host visiting investors, Partners, and guests.
Event & Meeting CoordinationPlan and execute internal firm events, offsites, and investor entertainment, including venue selection, catering, and on-site logistics.
Confidentiality & DiscretionHandle sensitive investor, personnel, and firm information with the highest level of discretion and professionalism, exercising sound judgment in a high-touch, relationship-driven environment.
Qualifications EducationBachelor's degree preferred; equivalent professional experience will be considered.
Experience5-8 years of executive assistant and/or office management experience, with meaningful exposure to financial services or other corporate environment strongly preferred; experience supporting multiple senior leaders simultaneously in real estate, private equity, or financial services is a plus.
Skills- Advanced proficiency in Microsoft Outlook, Word, Excel, and PowerPoint; experience with CRM and investor database platforms preferred.
- Exceptional organizational skills and attention to detail, with the ability to juggle competing priorities across multiple Partners.
- Strong written and verbal communication skills, with a polished, professional presence suitable for direct interaction with investors, senior executives, and outside advisors.
- A proactive, "one step ahead" mindset; comfortable taking initiative and ownership of both executive support and office operations without close supervision.
- Maturity, integrity, and a collaborative, service-oriented attitude; thrives in a small-team, high-trust environment and takes pride in creating a well-run, welcoming office.
This role offers direct, day-to-day exposure to firm leadership and the institutional investor community, with the opportunity to grow alongside Hawkeye's Client Solutions and Capital Formation functions as the firm scales.
