The Business Operations Coordinator supports the day-to-day operations of the firm by coordinating projects, improving processes, managing office operations, and providing administrative support across multiple departments. This role serves as a central resource for operational needs, helping ensure the office runs efficiently while supporting leadership with projects, vendor management, facilities coordination, and business initiatives.

The ideal candidate is highly organized, detail-oriented, proactive, and able to manage multiple priorities in a fast-paced environment. They enjoy solving problems, taking ownership of operational tasks, and supporting the overall success of the organization.

Work Schedule & Location

This is a full-time, in-person position.

Schedule: Monday through Friday

Regular attendance in the office is an essential function of this position.

Hybrid and remote work arrangements are not available.

Business Operations
  • Assist with improving internal processes and workflows.
  • Track project deadlines and follow up on action items.
  • Prepare reports, spreadsheets, presentations, and other business documents.
  • Organize meetings, take meeting notes, and distribute follow-up items.
  • Maintain internal documentation, policies, and operational procedures.
  • Assist with coordinating vendors and service providers.
  • Help maintain vendor files, agreements, and related documentation.
  • Order, organize, and maintain office supplies and ensure common areas remain stocked.
  • Coordinate office equipment maintenance and facility-related requests.
  • Help maintain a clean, organized, and professional office environment.
  • Assist with employee workstation setup and office equipment coordination.
  • Serve as a liaison between employees and the firm's IT provider for routine onsite needs.
  • Help maintain inventory of technology equipment and office assets.
Administrative Support
  • Provide administrative support to leadership and various departments.
  • Maintain accurate records while handling confidential information appropriately.
  • Assist with onboarding activities and employee training coordination.
  • Help coordinate company meetings, employee events, and engagement activities.
  • Perform other duties and special projects as assigned.
Qualifications
  • Associate's or Bachelor's degree in Business Administration, Management, or a related field preferred.
  • Two or more years of experience in business operations, office administration, project coordination, or a related role preferred.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Ability to prioritize multiple projects and meet deadlines.
  • Strong attention to detail and problem-solving abilities.
  • Ability to work independently while collaborating across departments.
  • Professional demeanor and strong customer service skills.
Technical Skills
  • Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Experience with project management software preferred
  • Experience working with business management systems preferred
  • Comfortable learning and adapting to new technology
  • Experience maintaining spreadsheets, tracking projects, and organizing documentation

Physical Requirements
