Overview

The Texas Civil Commitment Office (TCCO) provides intensive supervision and treatment to civilly committed sexually violent predators. TCCO is a small state agency administratively attached to the Health & Human Services Commission. This position is in the TCCO Administrative/Office and Administrative Support area, not eligible for telework. Salary range listed is monthly, with benefits for eligible full‑time employees.

Responsibilities
  • The Management Support Specialist is selected by and reports directly to the Deputy Director of TCCO and provides administrative support to operations leadership.
  • Work under limited supervision with latitude for initiative and independent judgment.
  • Serve as a liaison with the Deputy Director, other executive staff, and operational staff; interact daily with other executive offices to coordinate assignments.
  • Develop and coordinate the implementation of administrative projects and initiatives assigned by the Deputy Director or other executive staff.
  • Perform other duties as assigned to maintain efficient and accurate office operations.
Essential Job Functions
  • Provide administrative support as assigned by the Deputy Director.
  • Prepare confidential materials, correspondence, memos, and reports using Microsoft Word and Excel; proofread documents for accuracy before submission for signature/approval.
  • Maintain official copies of correspondence; manage incoming mail and phone communications.
  • Coordinate meetings and conference calls; prepare handouts and materials for meetings.
  • Update working documents and processes; assist in coordinating weekly, monthly, and quarterly reports.
  • Compile and enter data into agency tools and run reports using Excel functions.
  • Conduct research on programs, policies, and related regulations; prepare reports of findings.
  • Draft responses, develop letters, memos, forms, spreadsheets, and templates; prepare complex reports with tracked and summarized data.
  • Interact with agency staff, other state agencies, and the public to provide information about TCCO procedures.
  • Assist in compiling records for Public Information Act requests.
  • Cross-train to serve as backup for other administrative and operational staff.
  • Other duties as assigned.
Knowledge,

Skills and Abilities
  • Knowledge of accepted business practices and agency rules, regulations, policies, and procedures.
  • Proficiency with standard office equipment and software, including Microsoft Excel and PowerPoint; ability to use Excel to compile data, run reports, and create formulas.
  • Attention to detail and ability to self-edit to produce quality data and written reports.
  • Ability to create written reports tailored to diverse audiences; strong time management and organizational skills for handling multiple projects with competing deadlines.
  • Ability to handle high-level administrative issues and use initiative to analyze and solve work-related communications; effective written and verbal communication.
Qualifications
  • Valid Texas Driver's license.
  • Initial screening criteria:
    High school diploma required. A bachelor’s degree in business administration or related field is preferred. Three or more years of experience in advanced administrative office support. College education and experience may be substituted on a year-for-year basis.
