Position Summary
This role provides high-level administrative support to the Executive team as well as operational and project support within the association. This is a full-time, primarily remote position with required in-person work one day per week in Lansing and additional onsite support during statewide events.
The ideal candidate is detail-oriented, highly organized, tech-savvy, and able to self-manage in a remote environment. This position supports MAASE’s internal operations, communications, data systems, and grant projects, including the para educator training initiative.
Key Responsibilities Administrative & Executive Support- Provide scheduling, communications, and logistical support to the EDs and AED.
- Prepare agendas, draft communications, maintain records, and manage shared files (Google Workspace).
- Assist with the execution and tracking of organizational projects within Asana or other project management tools.
- Support governance activities (e.g., minutes, follow-up communications, preparing materials).
- Read and process mail (weekly).
- Maintain and update databases, spreadsheets, and records (including Novi AMS).
- Support check register maintenance, Accounts Receivable, and basic bookkeeping tasks (e.g., sorting receipts, preparing deposits).
- Support record retention processes and internal system organization.
- Draft and edit letters, reports, and digital communications.
- Routine website maintenance (primarily the job board).
- Provide onsite assistance during conferences, professional learning events, and meetings (primarily in Lansing, occasionally statewide).
- Support registration through the Association Management System (AMS) and Learning Management System (LMS), prepare materials, and assist with logistics.
- Assist with onboarding logistics (access setup, paperwork routing) in collaboration with the Director of Business & Operations.
- Coordinate scheduling tools such as Doodle Polls and Zoom links.
- Support internal office operations, including maintaining supplies and supporting document storage.
- Provide exceptional customer service through Zendesk by serving as the primary point of contact for learners, trainers, districts, and partners, responding to program, LMS, registration, and event-related questions.
- Manage program data, grant documentation, and reporting by completing data entry, maintaining accurate participant, trainer, funding, and event records, and supporting grant compliance and reporting requirements.
- Administer learning management system operations by enrolling learners, managing course access and completion, and updating participant records.
- Prepare, pack, ship, receive, and organize training materials, participant kits, and event supplies to ensure programs are fully equipped and delivered successfully across the state.
- Other duties as assigned.
- High school diploma or equivalent; associate’s degree preferred but experience in lieu of degree will be considered.
- Experience in a professional administrative, clerical, or support role.
- Strong digital literacy and comfort with cloud-based tools.
- Excellent written and verbal communication skills.
- Detail-oriented with strong time management skills.
- Ability to work independently in a flexible, remote environment.
- Professional, friendly, and responsive customer-service mindset.
- Experience using project management tools (e.g., Asana, ).
- Familiarity with Quick Books or light bookkeeping tasks.
- Experience with an AMS (Novi preferred, similar systems acceptable).
- Experience supporting events or working in the nonprofit sector.
- Comfort with Google Workspace, Zoom, digital scheduling tools, and online systems.
- Experience managing competing deadlines in a remote setting.
- Primarily remote with required in-office work in Lansing at least one day per week.
- Monthly onsite support required for events (Lansing, Traverse City, and other Michigan locations).
- Standard office hours with some flexibility around event schedules.
