Position: Order Processing Coordinator

Salary: $17.50 – $19.00 hourly

In This Role You Will- Process sales orders, discrepancies, and inventory documents daily according to established department policies and procedures, including:
- Ensure all incoming orders are received, entered, and saved into the order management system and tagged in the workflow management system (Mfiles).
- Utilize ASB platforms to process orders daily, performing data entry functions on purchase and sales orders based on specific program requirements and attaching all related correspondence and documents.
- Match vendor invoices and warehouse packing slips to purchase orders.
- Invoice customers upon receipt of all paperwork, verifying that costs are accounted for and accurate.
- Provide timely support, research, and feedback regarding the status of orders and related concerns or pending changes, such as:
- Contacting vendors regarding missing vendor invoices or documentation of credits applied to an account.
- Contacting sales associates regarding missing purchase orders and providing scanned copies of invoices.
- Collaborate with inventory, finance, and other home office support teams to meet or exceed sales, client, and vendor expectations, including:
- Coordinating updates when the warehouse or vendor removes old merchandise.
- Gathering and preparing information for credit memos.
- Inputting orders for warehouse and remote locations.
- Gathering inventory receiving documents and forwarding them to the Inventory Team for receipt completion.
- Assisting with inventory reconciliation as needed.
- Run and review various reports daily and weekly to manage the status of orders, freight integration, shipping detail accuracy, and aged invoices, using the information to process, prepare, and/or notify sales associates, home office departments, or vendors for necessary information to complete orders or resolve discrepancies noted on reports.

Education and Experience
Required:
High school diploma or general education degree (GED); plus six months to one year of previous work experience or education in customer service, accounting, or inventory control.

Ability to read and interpret documents such as procedure manuals, purchase orders, vouchers, and invoices. Must be able to effectively write routine reports and correspondence and speak effectively with fellow employees, management, and sales associates.
Mathematical SkillsAbility to calculate figures and amounts such as discounts, interest, commissions, and percentages.
Reasoning AbilityAbility to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Computer SkillsMust possess a basic working knowledge of Microsoft Office programs and have experience working with internet‑based programs and email.
